Position Summary The program assistant plays an integral role in relationships with members of our Homeownership Advisors Network, which includes nearly 30 public, private, and nonprofit organizations across Minnesota. These organizations provide various homeownership education and advising services. In this role, you will provide administrative support to grant managers, provide training coordination support to the learning and development manager, customer service to the Advisors Network and answer consumer calls and emails. The program assistant is an essential part of our team, helping to promote and advance homeownership in Minnesota, with an emphasis on serving communities of color and lower-income households. Primary Responsibilities Provide general support to program staff Responsible for communication to sub-grantees including reporting reminders, program updates and training announcements. Collect, record, track reports from sub-grantees. Provide first level support to sub-grantee organizations on using Salesforce to track client data and submit reports. Provide coordination and support for trainings, meetings and events provided to the Advisors Network. Collect and post homebuyer workshop schedules on the Center’s website. Manage and maintain affordable loan and rehab/repair matrix, a resource for the Advisors Network. Support the implementation of the organization’s strategic plan with a particular emphasis on utilizing an equity lens and fostering innovation within network membership and programming. Foster and maintain supportive, effective, cooperative relationships with a diverse group of grantee organizations and other stakeholders. Support implementation of compliance/regulatory file and program reviews of sub-grantee organizations. Promote the availability of housing services by responding to consumer calls, email inquiries and making referrals. Create and maintain a variety of organizational forms, records, and files. Assist with special projects and complete other duties as requested. Required Education & Experience High-school diploma or GED 2 years’ experience in a similar role Strong computer skills and confidence using Microsoft 365 applications (Outlook, Excel, Word) Prior experience or desire to work for a nonprofit organization Required Knowledge, Skills & Abilities Strong interpersonal skills to interact with all levels of the organization and Advisors Network and build strong relationships Exceptional organizational skills, strong attention to detail and follow through. Ability to provide excellent customer service with patience, empathy and a positive attitude Proficiency with databases, such as Salesforce, is essential. Ability to effectively utilize multiple databases, spreadsheets and tracking systems is required. Able to take initiative and willing to seek assistance and clarification when needed. Able to engage in collaborative problem solving and provide critical feedback to improve processes. Flexibility to respond to changing circumstances and priorities in a positive, focused manner. This position is in Saint Paul, MN and has flexibility to work at the office and remote from home. This is a full-time position and reports to the Director of Homeownership Programs. Salary is competitive, starting salary range is $22.00 - $24.00 per hour with excellent benefits package, including ten paid holidays, 21 days of paid time off, health benefits, a 401k retirement plan with 7% employer annual contribution.
