Ranch Animal Hospital is a well-established veterinary clinic located in Bradenton, FL, dedicated to providing high-quality medical care for pets. Our team is passionate about ensuring our patients receive the best care in a compassionate and friendly environment. As a growing practice, we are looking for a dedicated Veterinary Receptionist / Client Service Representative to join our team and help deliver exceptional client experiences while supporting our veterinary team in a variety of administrative and customer service duties.

As a Veterinary Receptionist / Client Service Representative at Ranch Animal Hospital, you will be the first point of contact for our clients and their pets, ensuring they feel welcome, informed, and supported.

You will manage appointment scheduling, answer client inquiries, and provide administrative assistance in a fast-paced, high-volume veterinary hospital environment. Your excellent communication skills, attention to detail, and ability to manage multiple tasks will be key in helping to create a smooth, efficient operation and a positive experience for clients and their pets.

Key Responsibilities
  • Client Communication & Customer Service:
    • Greet clients and pets upon arrival with a warm, compassionate, and professional demeanor.
    • Answer incoming calls, respond to client inquiries regarding pet health, services, and hospital policies, and provide accurate information in a friendly and clear manner.
    • Assist clients in a variety of ways, including providing estimates, explaining services, and addressing concerns or complaints.
    • Offer educational information to clients regarding veterinary procedures, treatments, and preventative care.
    • Schedule and confirm appointments for wellness visits, surgeries, diagnostic tests, and emergency care, ensuring optimal appointment flow and resource allocation.
  • Appointment Scheduling & Record Keeping:
    • Accurately schedule and manage appointments, ensuring proper allocation of time for examinations, procedures, and follow-up visits.
    • Process and maintain client and patient data, ensuring all medical records are up-to-date and correctly entered into the electronic medical records (EMR) system.
    • Ensure proper intake of new patient and client information, including medical history, insurance details, and consent forms.
    • Assist with the creation and maintenance of patient files, ensuring they are organized, confidential, and easily accessible.
  • Billing & Payment Processing:
    • Process payments for veterinary services, including diagnostics, treatments, medications, and surgeries.
    • Provide clients with accurate and detailed invoices, answer any questions about charges, and handle financial transactions using the clinic's software system.
    • Assist clients with submitting insurance claims and explain insurance coverage and reimbursement options.
  • Client Education & Support:
    • Educate clients about the importance of preventive care, vaccinations, parasite control, and other aspects of pet health.
    • Provide post-visit care instructions to clients, including follow-up visits, medication instructions, and any additional care needs for their pets.
    • Be a resource for clients seeking information about pet health, wellness, and lifestyle recommendations.
  • Veterinary Team Support:
    • Work closely with the veterinary team, including veterinarians and veterinary technicians, to ensure a smooth workflow and positive client experience.
    • Assist with organizing patient flow in the clinic and ensure that pets are seen promptly and efficiently.
    • Coordinate with the clinical team to provide information about patients' progress or treatment needs.
    • Help manage inventory, ensure reception area is stocked with necessary materials (forms, educational brochures, etc.), and keep the front office organized and clean.
Skills, Knowledge & Expertise to Be Successful
  • Experience:
  1. Previous experience in a veterinary setting or a medical office environment is strongly preferred.
  2. Experience in client service, customer support, or reception work is required.
  3. Familiarity with veterinary terminology, treatments, and procedures is a plus, but not required; we are willing to train the right candidate.
  4. Ability to handle multiple tasks in a fast-paced environment while maintaining professionalism and a positive attitude.
  • Technical Skills:
  1. Proficiency with office management software, including electronic medical records (EMR) systems and appointment scheduling software.
  2. Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook) for general office tasks.
  3. Experience with billing and insurance processing is a plus.
  • Communication Skills:
  1. Excellent verbal and written communication skills, with the ability to effectively communicate with clients in a clear, empathetic, and professional manner.
  2. Ability to stay calm and composed when addressing client concerns, especially in stressful or emergency situations.
  • Customer Service:
  1. Strong interpersonal skills and a commitment to providing exceptional customer service.
  2. Compassionate and patient with pets and their owners, understanding the emotional and stressful nature of veterinary visits.
  • Organization & Attention to Detail:
  1. High level of attention to detail, especially when managing client and patient records, financial transactions, and scheduling.
  2. Strong organizational skills to manage a busy reception area and maintain accurate records.
  • Availability:
  1. Flexible to work some evenings and weekends, depending on clinic hours.
