Job Description:
Who We Are:
Elliot Health System's Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP) provide individual and group-based treatment of co-occurring substance use and mental health disorders. PHP and IOP are for individuals who need care that is more intensive than individual outpatient programs but not as intensive as residential treatment. Depending on their role, staff can provide case coordination, assist participants in accessing community-based services, provide medication management, evaluate participants for medical issues, and more. The teams coordinate closely with primary care providers on a biweekly basis to ensure that all aspects of patients' wellbeing and health are addressed appropriately.
About the Job:
Assures smooth day-to-day operations of Elliot Substance Use Services department, the needs of patients, and staff. Acts as a representative in all areas of clerical support. Assumes responsibility for all facets of front desk operations, including greeting, answering phones, scheduling appointments, entering patient charges and demographics. Retrieving and updating medical records, collecting fees, and performing general clerical and other duties as assigned.
What You'll Do:
- Supervises daily clerical functions in the office, coordinates staff schedules ensuring smooth daily operations.
- Creates, monitors, and adjusts staff schedules to maximize provider and staff productivity and to increase patient access.
- Provides patients with instructions as to registration and billing.
- Assists with discharge of patients from the office and collects payments/co-payments.
- Initiates and/or makes recommendations for streamlining processes, improving workflow, and other front-end duties.
- Ensures adequate clerical staff coverage daily.
- Prepares and submits purchase orders according to accepted policies and procedures.
- Resolves office equipment and physical plant maintenance issues according to accepted policies and procedures.
- Acts as a backup to front office staffing needs, scheduling when necessary.
Education: High School Diploma or equivalent required. Associate degree preferred.
Experience: Two (2) years of experience in a medical setting preferred.
