We are now seeking an Intake specialist who will report directly to Gerardo Briceno. This role is critical in streamlining scheduling, and acting as a gateway between him and other team members, enabling him to focus on litigation and strategic firm decisions. In this role, you will handle a high volume of phone calls, have client intake responsibilities, and possibly follow up on special projects.

What you'll do:

Position Overview:

The Intake Coordinator will be the first point of contact for potential clients, playing a crucial role in the client acquisition process. This position requires a professional with excellent sales skills, a customer-centric mindset, and the ability to handle sensitive information with discretion. The ideal candidate will have a proven track record in sales, exceptional communication skills, and the ability to thrive in a fast-paced legal environment. The role demands agility in selling, persistence, and confidence in answering client questions.

Key Responsibilities:

Client Acquisition:

  • Serve as the initial point of contact for potential clients via phone, email, and in-person inquiries.
  • Conduct thorough initial consultations to assess potential clients' legal needs.
  • Effectively communicate the firm's services and value proposition to potential clients.
  • Follow up with leads and inquiries to convert them into scheduled appointments.
  • Handle a high volume of referral calls and direct them to new intake.
  • Follow up with clients through phone calls and text messages.
  • Go over contracts and consultation notes, ensuring they are properly entered into the system.
  • Schedule client appointments and ensure payments are made prior to appointments.
Sales and Marketing:
  • Utilize sales techniques to close potential clients and meet intake targets.
  • Develop and implement strategies to improve lead conversion rates.
  • Collaborate with the team to create and optimize lead generation campaigns.
  • Track and analyze sales metrics to identify areas for improvement.
Intake Management:
  • Maintain accurate and up-to-date records of all client interactions and intake processes in the CRM system.
  • Ensure all intake forms and documentation are completed accurately and efficiently.
  • Coordinate with attorneys and support staff to schedule consultations and follow-up appointments.
Client Relations:
  • Provide exceptional customer service to all potential and current clients.
  • Address client questions and concerns promptly and professionally.
  • Maintain confidentiality and handle sensitive client information with discretion.
  • Create a positive and confident first impression for clients, ensuring they feel assured they have contacted the right place.
What we're looking for:

Qualifications:
  • Proven experience in sales, preferably in a legal, professional services, or high-stakes environment.
  • Previous experience in a law firm or legal services environment.
  • Knowledge of legal terminology and processes.
  • Exceptional communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Familiarity with CLIO or other common legal-based CRMs and Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Bilingual - proficiency in Spanish and English.
  • Agility in selling and the ability to be persistent.
  • Confidence in answering client questions and providing reassurance.
Skills and Abilities:
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal, and a collaborative spirit.
  • Familiarity with the local area or a good understanding of it, even if not local.
