Group/Sales/Catering Coordinator The Group/Sales/Catering Coordinator is responsible for clerical and administrative duties, assisting with marketing materials and basic creative tasks that support the Group/Sales/Catering departments. The role includes building and managing room blocks, maintaining arrival details, and creating internal planning documentation to ensure seamless event and group execution. He/she helps support the department's revenue and guest satisfaction goals while providing attentive, courteous, and efficient service to all guests. Responsibilities include answering telephone and email messages, preparing and processing purchase orders, preparing and balancing accruals, opening and distributing mail, maintaining and staying abreast of the latest computer programs/innovations, filing correspondence, typing correspondence, maintaining inventory of office supplies, ensuring smooth operation of the office, typing and distributing meeting minutes, maintaining trace files, assisting in scanning/copying/faxing/mailing, greeting guests/clients/employees, attending meetings/training, assisting the sales team with preparing proposals, generating contracts, creating promotional materials and presentations, serving as the point of contact for clients, communicating group room block details/changes, developing best practices for prospecting new banquet business, monitoring blocked space and sleeping room blocks, assisting the sales team in managing calendars, important document organization, and weekly tasks, assisting with marketing administrative tasks and coordination of hotel led events and photoshoots, designing on-property signage, print materials, and digital ads, producing content for digital channels, coordinating the marketing project calendar, organizing photoshoots, planning and maintaining the monthly social media calendar, creating and publishing content across platforms, tracking performance metrics, supporting the development and execution of on-property guest activations and seasonal events, building relationships with local partners, and maintaining marketing assets. Qualifications include a high school diploma or equivalent, experience in a hotel or a related field, at least 3 to 5 years of progressive experience in a hotel or related field, college course work in related field, computer knowledge/skills, flexible and long hours sometimes required, light work, maintaining a warm and friendly demeanor, effective communication skills, multitasking and prioritizing skills, attending all hotel required meetings and trainings, maintaining regular attendance, maintaining high standards of personal appearance and grooming, complying with Highgate Hotel Standards and regulations, maximizing efforts towards productivity, problem-solving skills, understanding and applying complex information, cross-training in other hotel-related areas, maintaining confidentiality, showing initiative, and performing other duties as requested by management.
