You will support our advisors, our clients, and our continued growth, ensuring smooth firm-wide operations centered on client service including client-specific, account-specific, and general business functions. You will be responsible for various tasks, including financial planning support, schedule management, IT support, paperwork completion, customer service, marketing support, project management, and assisting affiliated companies. Because the position assists and touches the firm's entire operational scope, you will strategize with leadership and bring ideas for improvement, along with the tenacity and project management capabilities to implement them. This is a dynamic, fast-paced position that requires individuals who are committed to delivering exceptional results. Responsibilities:Deliver exceptional customer service to clients through personalized outreach and professional communicationProvide comprehensive financial planning support by collecting and coordinating informationPrepare investment account paperwork and manage the transfer of assetsRespond promptly to client service requests, troubleshoot service issues, and provide effective solutionsAssume cashiering function with custodians, ensuring accurate and efficient financial transaction processingInterface with custodians to complete new account applications and various account maintenance items, process cash and securities transactions, follow up as neededUpdate and maintain client status and information within CRM and all internal systems and reportsMonitor and streamline workflows for client service and business operations tasksProactively communicate with advisory team, providing updates and addressing concernsConduct research, prioritize issues, and follow up on incoming inquiriesProactively manage schedules and prioritize appointments for efficient operationsTrain and supervise other employeesOffer IT support to maintain computer hardware and software systemsAssist in creating marketing materials and campaigns to support business growthManage special projects with resourcefulness and problem-solving skillsProvide support to affiliated companies Utilize QuickBooks for bookkeeping tasks, as neededQualifications:2+ years of experience working within a financial advisor's office is required; 5+ years preferredBachelor's degree highly preferred, or equivalent work experienceSolid understanding of investment and financial planning management conceptsFamiliarity with industry-specific softwareAdvanced level proficiency in Microsoft OfficeProficiency in technologies including Dropbox, Slack, Salesforce, and Windows devices/softwareA passion for hard work and a love for taking ownership of challenging problemsClient-focused mindset with a commitment to delivering exceptional serviceAbility to maintain grace and poise under pressure in a fast-paced environmentStrong follow-through and ability to manage multiple projects and deadlines effectivelyComfortable making mid-level decisions and judgment callsGoal-oriented with a commitment to excellence and continuous improvementExcellent oral and written communication skillsAbility to pass an intensive securities industry background checkBookkeeping experience is a plus
