About the Organization

In 2018, 50 immigrant justice movement leaders from around the country first convened to participate in an Immigrant Movement Visioning Process (IMVP), a collective endeavor focused on developing a bold, proactive, and inspiring vision of the future over the next 25+ years that achieves freedom, dignity, and collective wellbeing for immigrant communities, the immigrant justice movement, and everyone living in the U.S.

In 2023, IMVP shifted the initial orientation as an episodic process designed around envisioning the future and toward an ongoing project in implementation mode in which we will focus on concrete actions to more deliberately advance the IMVPs long-term vision for Five Freedoms the freedom to stay, the freedom to move, the freedom to work, the freedom to thrive, and the freedom to transform. In this new phase, IMVP will focus on cultivating a healthy, powerful movement ecosystem and serve as a hub for the movement to collectively develop and align on strategies designed to bring the Five Freedoms to life in our communities. We aim to experiment with new ways of strengthening movement relationships, reimagining power-building to more strategically confront todays societal challenges, and collectively shifting the narrative on immigration.

The IMVP is currently incubating as a fiscally sponsored project of the National Immigration Law Center (NILC). As such, all IMVP personnel are currently contractors of NILC.

About the Position

The Immigrant Movement Visioning Project (IMVP) is looking to hire a Project Manager to help manage, track, and advance the work and activities of the Design Team, Executive Team, and Facilitation Team. The Project Manager will need to take initiative in managing IMVPs work, constantly striving for excellence in relationship management and outcome delivery for the collective. The Project Manager will be the main point of contact for the IMVP cohort, track the work of the committees, and manage bodies of work including project management system creation/implementation, administrative support, communications support, event & in-person meetings support & coordination, and fundraising tracking & budget management work.

Successful candidates will have exceptional organizational skills, a proven track record of internal and external stakeholder orientation, and the ability to build trustworthy communication among diverse movement leaders and supporters. Experience with Office365 and Google Workspace is helpful, along with the ability to manage multiple assignments, pay very careful attention to detail, and create processes that streamline common bodies of work. The ideal candidate is not afraid to roll up their sleeves, learn through doing, and work hard on impactful efforts in a start-up environment.

This opportunity is best suited for sole proprietor / independent contractor (1099) applicants.

The Project Manager will be responsible for providing leadership and driving success in the following key areas:

Specific Position Responsibilities
  • Workflow & Communications Management
  • Research, create, implement & manage a project management system to track progress on IMVP goals & annual work plan
  • Plan, coordinate, and execute IMVP work & projects including tracking and reporting on status, managing the work & project timeline and milestones
  • Act as the main liaison to the IMVP Leadership & Committee leads, providing check-ins, reminders, and reporting
  • Create, implement, & manage data and file management systems for IMVP materials including:
  • Create, implement, & manage a standardized filing system, organizing the IMVP archive to ensure all relevant documents are available & easy to find
  • Create & manage a cohort participant database for oversight of which members are involved in various bodies of work
  • Create surveys, forms, and tracking sheets for things like outreach, contact sheets, registrations, surveys, and more as needed/requested
  • Review & appropriately file documents from IMVP collective members (Design Team, cohort members, consultant/contractors, etc.)
  • Manage access to the IMVP materials & tools, liaising with designers, editors, webinar presenters, and other stakeholders who may need access to IMVPs materials
  • Act as primary point of contact for IMVP communications, including managing & tracking cohort outreach (new & existing), execute ongoing email updates, and any other communications needed
  • Manage IMVP website content & updates, acting as the primary point of contact for the web designer
  • Meeting and Event Planning, Support, & Coordination
  • Provide administrative and logistical support for IMVP meetings including supporting virtual and in-person meetings, webinars, workshops, convenings, retreats, and presentations, including:
  • Coordinate scheduling and logistics for meetings/events
  • Manage pre-meeting/event preparation including managing materials creation & delivery
  • Coordinate & supervise on-site support teams before & during retreats/events
  • Ensure all supplies, materials, and set-up is completed before on-site meetings
  • Provide technical and hands-on support to meeting/event leaders & facilitation teams
  • Act as a bridge between the Design Team, facilitation team, and on-site support team
  • Take notes during meetings & send out follow-up notes/summaries as appropriate
  • Complete post-event follow-up items
  • Lead the overall planning & execution of in-person events & retreats, including site and vendor research & selection, communications, catering needs, logistical support, and vendor oversight.
  • Create & maintain event planning & tracking systems to ensure all event needs and timelines are captured and executed
  • Lead the coordination & management of convening and retreat site research, contracting, & logistics, including scheduling & leading meetings with clients to determine site parameters and needs, RFP process, and selection of site(s)
  • Coordinate registration and manage any event-related communications with cohort members or other attendees
  • Act as the main point of contact for events including ongoing communication with vendors, establishing relationships with vendors and/or venue staff, and oversight of logistics before, during, and after the events
  • Oversee the planning & execution of any catering orders including cost negotiations, dietary restrictions, setup, and onsite logistical oversight
  • Coordinate and execute all supply, materials, services, and other event details as needed for each event
  • Fundraising & Budget Management
  • Support the Executive Team & Facilitation Team tracking fundraising & supporting fundraising and budget management activities including development of fundraising strategy, funder briefing agendas & supporting materials, proposal development & writing, and development & revisions of annual budget
  • Act as the liaison with NILC staff members for budget management and tracking
  • Manage & track expenses and reimbursements

Qualifications Required
  • Bachelors degree and/or equivalent experience
  • 6-8+ years of project management, nonprofit management, or other relevant experience required; nonprofit sector or social justice organization experience preferred.
  • Experience of planning and executing projects of varying size and complexity
  • Demonstrated ability to adapt to changing priorities, strategies, and circumstances.
  • Proficiency with in-office and virtual environments and software such as Google Workspace, MS Office, internet research, and virtual collaboration tools.
  • Excellent verbal and written communication skills.
Preferred Qualifications
  • Project Management (PMP, PMP, CAPM, or equivalent) Certification a plus
  • Experience working in social justice movements a plus
  • Proficiency in non-English languages spoken by Latinx, Asian, Pacific Islander, African, Caribbean, and Arab communities preferred. Fluency in more than one language is desirable

Work Environment
  • The Immigrant Movement Visioning Project (IMVP) is currently incubating as a fiscally sponsored organization of the National Immigration Law Center (NILC), a 501(c)(3) organization. As such, all IMVP are contractors of NILC.
  • Location & Travel:
  • All IMVP contractors are 100% remote. For this role, 4-6 interstate trips per year (maximum 4-6 weeks of travel per year).
  • Travel around the country and flexibility to accommodate work during evenings and weekends when warranted are key requirements for this role.
  • Compensation:
  • The hourly rate for this role is $58 - $68 based on a 32-hour work week, dependent on skills and experience.

  • Remaining in a stationary position, often standing, or sitting for prolonged periods
  • Communicating with others to exchange information.
  • Repeating motions, like typing or answering a phone, that may include the wrists, hands and/or fingers.
