Summary of Position

The primary responsibility is to serve congregants experiencing crisis, requesting ministry and/or financial assistance. The ability to act with spiritual discernment, compassion, and firm boundaries is necessary to handle day to day interactions with congregants requesting assistance. The ability to be flexible and balance the emotional needs of the people with the organizational tasks of administration is necessary. Meeting the needs of the people, supersedes task. This requires strong people skills, good time management, and sound judgement.

Though heavily ministerial, this multi-task position involves full knowledge of all administrative and clerical procedures of Gateway Church. The position will require active participation of building a volunteer base, following proper office procedures, priority assessment, task coordination and office management.

Principle Responsibilities
  • Responding to phone calls/emails, ministering through prayer and encouragement
  • Gathering information and processing documentation for benevolence or pastoral care requests Compile a folder for each applicant/Request.
  • Managing intake, scheduling and engaging in biblical counseling and benevolence assessments and sessions.
  • Ministering and evaluating the scope of the congregants' challenge whether for biblical counseling or benevolence during assessments and providing detailed feedback to present during case review meetings.
  • Managing case review meetings, insuring that there are always 2 ministry staff present, Rare occasions allow for other members to maintain a high level of service to congregants
  • Developing ministry plans and communicating them verbally and via email
  • Sending authorizations to client and professional if Gateway is financially contributing to professional counseling
  • Processing invoices for professional counseling
  • Utilizing existing systems for recruitment, retention, and training of volunteers
  • Providing appropriate communication and opportunities to participate to volunteers
  • Managing Planning Center Online database integrity as it relates to benevolence, biblical counseling, and freedom interactions with congregants
  • Meet weekly with pastoral oversight for direction and creative planning
  • Meet monthly with multi-campus Gateway Care team (depending on changes in Central Ministries)
  • Respond to all emails, voicemails, and calls within 24 hours and distribute accordingly to staff for effective follow-up
  • Provide information pertaining to event and ministry in general to those who are requesting
  • Stewarding Compassion & Relational Care budget.
  • Prepare and turn in expense reports to Concur with accurate information for oversight
  • Prepare and submit purchase orders and check requests for necessary items
  • Coordinate gifts being sent to those being ministered through Relational Care
  • Maintaining supplies such as gift cards, greeting cards, and other office supplies
  • Managing POC Rotation, including daily monitoring, assignment, and execution of all care needs
