This job opportunity is for services to be performed under a contract with the federal government Office of Refugee Resettlement.

The Scheduling Associate (Bilingual English/Spanish) is solely responsible for scheduling operations by monitoring employee attendance to ensure that call-ins protocols are followed. Provide accurate forecasting to pre-plan diverse shift coverages, affecting multiple care services departments. Communicate with onsite managers to ensure all scheduled and unscheduled employees have been accounted for to prevent under staffing ratios.

Essential Functions:

  • Maintain employee records such as timesheets and attendance records
  • Track Employee approved R/R
  • Monitor employee attendance to ensure that they do not miss work without authorization or take unscheduled time off from work
  • Communicate with onsite managers to ensure that all scheduling requests are met on time
  • Create schedules for employees based on their request for time off and company policies regarding hours worked and shift times
  • Prepare reports about employees' availability to work specific shifts or on specific days to cover operational needs during an influx
  • Field all call ins and call outs for all care services departments
  • Provide daily staffing forecast reports two to three times per day
  • Support requests and delivery of frequent iterations and tasks
  • Collaborate with other departments as needed
  • Other duties as assigned by the Emergency Operations Center (EOC) Manager
Knowledge and Skills:
  • Intermediate level of proficiency with Microsoft Office
  • Ability to work with formulas, tables, pivot tables and other CRMs
  • Ability to document, input data and perform forecasting analysis'
  • Excellent interpersonal, communication and problem-solving skills
  • Ability to work well under pressure
  • Must be able to speak, read, and write in English and Spanish
  • Ability to work flexible hours in a 24/7/365 business environment
Education and Experience:
  • High School diploma or equivalent
  • Experience working with multicultural staff
  • Experience in scheduling and operations
  • Clerical or administrative experience a plus
  • Must be able to type 40 WPM
  • First Aid Certified, preferred. Note: Training will be provided to earn your CPR & First Aid certification if needed.
  • Must be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS)
  • Must pass a motor vehicle record check and employer and government (eQIP or eAPP) background checks after accepting a conditional offer of employment
