**Job Summary**: This role supports the estimating staff to ensure administrative tasks are completed in a timely and orderly manner.

**Responsibilities**:

- Support the estimating team by answering phones, setting up meetings, scheduling field trips, distributing mail and/or plans, scheduling meetings, and ordering supplies.
- Send instructions on Prequalification forms and verify and update the same.
- Index sub bids and sub evaluations.
- Review and analyze contracts and agreements to ensure compliance with company policies and legal requirements.
- Update and maintain database by uploading plans/specs/addenda/docs, etc.
- Phone calls for the estimating department
- Distribute items to Subs and vendors
- Record and distribute weekly meeting minutes
- Update the Estimating calendar
- Download and organize job files for estimators on building connected
- Assist in the preparation of proposals, including researching and writing proposal content.
- Maintain accurate and up-to-date contract records in electronic databases or document management systems.
- Coordinate with external stakeholders, such as vendors or clients, to resolve contract-related issues.

- Proficiency in document review and analysis.
- Exceptional written and verbal communication skills.
- Strong attention to detail and organizational abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Ability to maintain confidentiality
- Excellent interpersonal skills and ability to be assertive as needed
- Ability to manage multiple priorities and work in a pressure environment with strong time management skills
- Strong sense of urgency
- Diligence in following through on commitments
- Ability to work both independently and as part of a team in a partnering environment
- Experience working as part of a team
- Proficient with the Microsoft Office suite of products with an emphasis on Microsoft Word, Outlook, Excel.
- Must have a valid driver license.

Pay: $17.00 per hour

Expected hours: 40 - 45 per week
