**Part time Position**: Approximately 20 to 25 hours per week. Monday through Friday, occasional weekend work required.

**JOB OVERVIEW & PURPOSE**

The Donor Engagement Administrative Assistant is responsible for all administrative, data entry tasks, and donor interface associated with fundraising campaigns and donor stewardship.

The Donor Engagement Administrative Assistant is passionate about serving our community and growing our mentoring program through enthusiastic customer service and donor relationship building. This position is responsible for donor correspondence and recording donor movements within the donor engagement platforms, requiring excellent written communication skills, attention to detail and dedication to accuracy.

**Duties and Responsibilities**

Campaign Execution
- Coordinate and execute annual revenue-generating and engagement calling and letter writing campaigns.
- Coordinates, executes, and is responsible for the revenue-generating mail and phone campaigns to donors who are nearing or currently achieved lapsed status.

Donor Stewardship
- Prepares and mails donor thank you letters within 48 hours of gift posting.
- Coordinates thank you calls and handwritten notes with and without committee members.
- Takes incoming donor care phone calls, provides the highest level of customer service in all circumstances, and takes appropriate action to resolve donor issues.
- Assist in creation, preparation, and execute distribution of donor care correspondence and development materials to meet the specialized needs of donors and the organization.
- Actively research, coordinates, and executes donor engagement and gratitude campaigns, such as quarterly donor updates, specialized calling projects, and mail campaigns.
- Create and process the new donor welcome program.
- Attending varies in-person events to pitch our program to acquire donors and volunteers.
- Uses various vendor platforms to perform donor care issues, including but not limited too: Network for Good, Engaging Networks, Stripe, and more.
- Expedites and performs due diligence to issues and inquiries from donors and staff.

Data Entry and Database Management
- Responsible for accurate data entry of all donations in Network for Good, the confidential donor database, within 48 hours of receipt.
- Ensures the accuracy of gift entry by generating weekly gift reports for development staff to review.
- Responsible for the maintenance and integrity of Network for Good by performing regular donor data cleanup projects, merging of records, creating relationships between records, and applicable donor changes submitted through correspondence, donor communications, and returned mail.
- Contacts donors with incorrect gift information, and declined or misread credit card numbers, to obtain correct information, and process accordingly.
- Processes credit card gifts that are submitted by phone, makes applicable updates to credit card gifts, and process credit card refunds with Supervisor approval.
- Aides staff in the annual year-end statement project.
- Prepares reports, donor contact lists, and other information as needed.

Development Team Support
- Attend and participate in fundraising events as required.
- Assist the Development team during emergency needs and Holiday Season activities.
- Schedule donor visits for CEO and Development team.
- Assist Development team with event invitations, RSVP’s and seating assignments as needed.
- Processing and coordinating flow of information with accounting contractor.
- Maintains a professional, can-do attitude and can manage unanticipated changes that have tight turnaround times by adjusting schedules for other projects and clearly communicating those changes to stakeholders and team members.
