**Position Description**

This position requires performance of a variety of clerical services for the reception area, including greeting consumers, switchboard activities, and data entry and file creation as described below.

**Position Requirements**

**Education and Experience**
- Six months as a Clerk Typist 1 and educational development to the level of eighth grade;
OR
- Completion of a high school business curriculum which included at least one typing course

OR
- Any combination of equivalent experience and training.

**Physical Demands**

While performing the responsibilities of the Support Staff, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee may be required to stand, walk, reach with arms and hands, climb or balance, stoop, kneel, crouch or crawl and, enter and exit a vehicle. The employee may need to work with arms above shoulder height, bend at the waist or work bent at the waist, lift or carry items or occasionally work with an uncommon level of noise. Vision abilities required by this job include close vision.

**Position Duties**:

- Call forwarding to Crisis Provider - Deactivate service daily upon opening. Activate service daily upon closing.
- Greet and assist visitors, offer information or assistance in completing forms, etc. Refer those in need of further assistance to appropriate authority.
- Accept and screen telephone calls, handling those requiring routine information, and refer all others to the proper staff members or providers.

Relay messages to appropriate staff persons. Sort and distribute faxes as needed. Open and sort incoming mail; batch outgoing mail.
- Schedule appointments/meetings/conferences/hearings; reschedule and cancel, as necessary. Phone consumers to confirm intake appointments.
- Input data through various computer programs. Monitor and evaluate data before beginning data entry procedures. Contact appropriate staff for assistance when necessary.
- Complete consumer liability determinations and annual fiscal updates as required.
- Create and set up new consumer charts (either paper files or electronically), file consumer materials, and maintain files in proper organization and completeness. Purge charts which have not had activity within timeframes established by the departments.
- Utilize LaserFiche scanning to create and update charts.
- Data entry including input, linking, transfer and closure within tracking systems used by the state or county, such as HCSIS or PELICAN.
- CPR 837/CPR WEB (Client System) all aspects of data entry, including creation, termination, correction, transfer, updates, etc.
- Copy and assemble materials as requested by staff for mailing or distribution, such as information packets, flyers, etc.. Mail or distribute as directed.
- Type letters, memos and/or form letters.
- Data entry into various data entry systems. Data entry backup - for various data entry needs such as Forensic POP Sheets, logging of Hearing information, etc. Retrieval of information when necessary.
- Maintain copiers, fax, supplies, and assist staff in day-to-day operations thereof. Assure that all machines are properly turned off at end of each work day.
- Keep consumer reception room in neat and orderly condition (magazines, pamphlets, books, toys, chairs, etc.); remove outdated materials from bulletin boards in reception room and at front doorway.
- Prepare and distribute materials for meetings, including meeting agendas and supportive documents, attend meetings, prepare minutes, distribution of minutes.
- Assist with vehicle maintenance
- Participates in the various committees and acts as a liaison between employees and the committee.
- Perform duties as required and assist with other clerical functions as directed by supervisor.
- Responsible for reporting all car issues and maintenance to supervisor. Follow through by making appointments for repairs/maintenance and adjusting the automobile’s Outlook calendar. Ensuring cars are sent and returned from repair/maintenance appointments. Forward invoice to supervisor. Collect mileage forms and gas receipts (if necessary) at end of month and forward to supervisor.
