BOOKKEEPING RESPONSIBILITIES
- Manage all accounts payable and receivable for all departments
- Work closely and efficiently with Purchasing and Expediting Departments
- Adhere to systems, policies, processes, and procedures for accounting and cash flow, with the assistance of organization leadership
- Create weekly, monthly, and quarterly dashboards outlining the financial status and wellness of the organization (Work in Process, Cash on Hand, Accounts Payable, Accounts Receivable, Cash Flow Projections, Productivity Analysis, Time Billing Reports, Expediting Reports)
- Generate invoices and proposals, as required, according to project timelines
- Generate and manage client monthly statements
- First point of contact for past due balances and outstanding invoices
- Provide clients with payment assistance including explanation of charges and fees to include invoice reminders
- Manage payment processing software
- Log invoice acknowledgments and statuses in software system
- Prepare and deliver deposits to the bank
- Send financial information to CPA for tax preparation
- Generate sales tax reports in multiple states
- Prepare and submit monthly Retail Reports
- Request Vendor pricing, as necessary
- Collect and record incoming checks and bank transfers
- Maintain and monitor all business accounts; reconcile statements, and manage P+L/Balance Sheets
- Collaborate with CPA to ensure taxes are paid according to deadlines
- Process Vendor bills and payments
- Collaborate with Leadership on Bi-Weekly Payroll processing
- Participate in the development and monitoring of operational and capital budgets, with the assistance of organization leadership
- Maintain compliance with Federal, State and Local rules, regulations and legal requirements
- Participate in coaching and training programs for business development

ADMINSTRATIVE RESPONSIBILITIES
- Support management, designers, accountant and expeditor.
- Present reports and documents as required for the leadership team (daily, weekly, monthly) including task lists for execution (Asana)
- Track time via Harvest

- 3+ Years Experience in Quickbooks and Microsoft Office
