Under the supervision of the Intake Director, the Admissions Case Manager provides comprehensive coordination for smooth intake /admission process for clients entering residential treatment including eligibility verification and prior authorization submission.

**RESPONSIBILITIES**:

- Welcomes clients, provides initial greeting, and assists with paperwork as needed.
- Provides excellent customer service to clients and referring agencies.
- Coordinates daily admissions with the Intake team and keeps the residential and outpatient staff informed of client admissions schedules, status, and related issues.
- Inform (verbal and written) the public on NAC programs, procedures, etc.
- Put admit packets together for clients, keep necessary stock of packets.
- Prepare client files with required admission documentation and copies in client charts.
- Set admission appointments for clients and ensure that daily client appointments are accurately logged in to the electronic health record.
- Prioritizes priority populations (i.e., Native American, pregnant, IV substance use, etc.) for residential admission on an ongoing basis to ensure high bed occupancy.
- Assist with coordination of detox and/or MAT services as needed throughout referral, assessment and/or admission process.
- Acts as backup to complete assessments, integrated service plans and related documentation and recommends appropriate services for client based on assessment process.
- Assist with submitting initial prior authorization and notice of admissions (NOA) for all residential admissions requiring prior authorization.
- Follows up on all authorizations to ensure clients are not in residential treatment without proper authorization.
- Notify clients and referral sources of all documents and needs for entering treatment.
- Assist in making community and internal referrals as well as external providers.
- Maintains strong working and referral relationships with all existing contractors and collaborators, potential contractors and other numerous community and referral agencies.
- Completes deliverables with tracking daily admissions.
- Acts as backup for Patient Services Representative, when needed
- Support and actively engage in practices of inclusion through Cultural and Linguistically Appropriate Services (CLAS) Standards
- Attend bi-weekly Outpatient Staff Meeting
- Other duties as assigned.

**EDUCATIONAL REQUIREMENT**:

- Bachelor’s degree in behavioral health field preferred; or
- Associates of Arts Degree in behavioral health field and 2 years’ experience in licensed facility; or
- Associates of Arts Degree with LSAT AZBBHE license; or
- High school diploma or GED and 4 years’ experience in a licensed facility; or
- High school diploma or GED and 18 hours credit in related field and 2 years’ experience in a licensed facility; and
- Possess and maintain a valid Arizona driver’s license and
- Fingerprint Clearance Card

**WORK EXPERIENCE/SKILLS REQUIREMENT**:

- MS Office proficiency
- Strong interpersonal skills with an ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors.
- Demonstrate excellent written and oral communication skills.
- Excellent customer service skills.
- Experience in working with the Native American population preferred.
- Must demonstrate critical thinking, problem
- solving and organizational and time management skills.
- Proficiency in electronic health record systems
- Must be able to work well with others in a team approach.
- Possess and maintain a valid Arizona driver’s license.
- Fingerprint Certificates within 90 days of hire.
- Bilingual
- Spanish desired
- Must understand the recovery process of a substance using individual.
- Know the economic, educational, and social problems of Native Americans and referral sources available.
