**About the role** Function of Department**

Crown Agents USA, Inc. (CA-USA) is a wholly-owned subsidiary of Crown Agents Ltd. CA-USA aims to deliver effective and efficient programs and services to our clients which span the U.S. Agency for International Development (USAID), Millennium Challenge Corporation (MCC), and the U.S. Trade Development Agency (USTDA). We also often serve in a subcontractor role to other US government contractors. CA-USA is looking to both perform on its current projects portfolio, increase the number of growth opportunities CA-USA supports through bid, and generally contribute to the growth in the US market across the Crown Agents (CA) group of companies. To achieve this requires strong project management (delivery) and support to Chiefs of Party, technical and IO leads, senior program managers, and CA executives to drive profitable project results, manage risk, and ensure project impact is well communicated. The CA group of companies is actively looking to build its USG-funded programs to be implemented by CA-USA, CAL, and other CA subsidiaries.

**Job Purpose**

The Project Associate will provide support with project administration and completes professional and administrative tasks related to supporting project implementation. Additionally, the Project Associate will support proposal and new business development efforts.

**Responsibilities**

**Project Administration**
- Maintain project files and ensure compliance with Crown Agents and client requirements;
- Schedules meetings, prepares agenda, and captures notes;
- Drafts and tracks administrative and financial project requests and changes to clients and partners, which includes approvals, financial report and tracking, activity modifications, and budget adjustments;
- Drafts and submits consultant agreements to the HO Contracts Department for approval;
- Tracks, and when appropriate, reviews project deliverables and reports for completeness and readiness for submission;
- Supports the Senior Project Manager in managing all home office consultants and ensures all deliverables are submitted on a time;
- In coordination with the Senior Project Manager, responds to and answers questions from project field office and other home office departments regarding client policies and regulations;
- Provides travel support for employees and consultants by gathering relevant travel information, seeking necessary authorizations, and working with the travel agency to obtain flight tickets and accommodation;
- Liaises with the traveller to collect expense reports and required back-up documentation;
- Facilitates fielding and repatriation of employees and consultants;
**Project Accounting**
- Supports review of local expenses and supporting documentation;
- Supports review of monthly wire transfer requests;
- Drafts and submits Payment Request Forms (PRFs) and compiles all back-up documentation in one PDF file;
- Supports budget management, which includes monitoring of project spending and developing realistic projections

**Proposal Development**
- Participates in proposal teams in specific line roles, which includes, but are not limited to, corporate capabilities writer, cost proposal development, recruiter, coordinator, or subcontractor/subaward liaison;
- Travels when appropriate to conduct information gathering regarding new business efforts

**About you**
- Strong written and communications skills
- Understanding of essential workplace dynamics and etiquette
- Familiarity with Microsoft Suite
- Willingness to travel overseas
- Proactive and flexible work style
- Ability to travel overseas up to 20% of the time
- Knowledge of USAID and other donors preferred
- Batchelors Degree
