This clerk typist works independently within the standard agency operating procedure and with supervisory guidance. This position performs work of moderate complexity which requires the utilization of typing skills, filing and organization of forms and documents, and telephone communication skills.

**ESSENTIAL REQUIREMENTS**
- Completion of a high school business curriculum which includes at least one typing course; and educational development to the level of the eighth grade; or any equivalent experience and/or training.
- Knowledge of English grammar, spelling, and punctuation at a level equivalent to that used in writing or adjusting written materials normally consisting of simple sentence structures, one and two syllable words, and punctuation marks for word, number, and sentence separation.
- Skill in using a computer
- Knowledge of standard office procedures, practices, conduct, and actions necessary in maintaining harmonious working relationships.
- Knowledge of the techniques applied in using the English dictionary.
- Knowledge of standard office procedures and practices such as the types, organization, and use of standard office files, logs, forms, and letter formats.
- Knowledge of intermediate arithmetic which involves calculations similar to adding and subtracting common fractions; and multiplying and dividing by two or more digits, whole numbers, or decimal multipliers and divisors.
- Ability to understand and follow oral and written instructions which explain multifaceted procedures.
- Ability to proofread information for conformance with a prescribed pattern or form, to assure the adherence to clerical office methods, or for compliance with specific administrative or procedural rules.
- Ability to transfer information and present it in a modified form according to rules and procedures.
- Ability to collect and organize material for reports by determining what available information should be in included and presenting the information in an organized format.
- Ability to compose straightforward, informational correspondence such as transmittals or acknowledgements in reply to requests or questions on the work process or related information.
- Ability to perform basic arithmetic calculations such as the adding and subtracting of whole numbers and decimals; and multiplying and dividing by one digit whole number or decimal multipliers and divisors.
- Ability to organize work and develop effective work methods in an area which involves variable phases of different techniques and procedures.
- Ability to make duty oriented decisions on the basis of well-defined standards and precedents.
- Ability to operate office and mail processing machines such as the adding machine, photocopier, and postage meter.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**
- Prepare notes, correspondence, documents, and reports from draft. Responsible for proper spelling, grammar, and format.
- Establishes, organizes, maintains, and updates files, databases, records, and other documents; develops and maintains data, performs routine analyses, and calculations of data.
- Responsible for data entry of reports, spreadsheets, agendas, minutes, documents, and forms from electronic and handwritten draft or original source documents.
- Maintain multiple databases and merge function for mailings, labels, letters, and other uses.
- Data entry into SAMS, Shiptalk, NPR, and other required reporting fields.
- Responsible for maintaining Volunteer Works database, including monthly reports, mailing, and other required activities.
- Primary back-up for agency switchboard.
- Process all incoming and outgoing agency mail on a daily basis.
- Assist with managing calls and paperwork for the Rent-a-Kid Program.
- Make appointments for APPRISE, income tax assistance, and other volunteer services.
- Prepare and maintain materials for public events, presentations, and volunteer trainings.
- Assist with registration and other support at community events and trainings.
- Assist with updating information data in support of Information Specialist.
- Responsible for maintaining nursing home and personal care home lists, including semi-annual mailing to homes, and updating and formatting documents.
- Provide coordination and scheduling of the office clerical support.
- Take and transcribe minutes of meetings as assigned.
- Compose letters, memos, forms, and reports in final format.
- Proofread all letters, memos, forms, and other documents.
- Operate a multi-button telephone and handle voice mail transfers.
- Replenish office supplies.
- Assist in monitoring and maintaining agency literature and resources supply.
- Photocopying.
- Preparing and sending faxed material.
- Prepare, monitor, and maintain packets of forms and documents for staff.
- Type updates for various manuals and publications originated by staff.
- Prepare all bulk mail shipments, including preparation of mailing, postage count, and delivery to post office.
