We are seeking a highly organized and detail-oriented Finishing Department Coordinator to join our team. The Finishing Department Coordinator will play a crucial role in supporting the department's operations by assisting with various tasks, including show set-up, scheduling, technical coordination, and general support for the team. This role requires strong communication, organizational, and problem-solving skills to ensure the efficient and timely completion of projects. Familiarity with entertainment industry post-production workflows and processes is a definite plus.

**Responsibilities**:

- Collaborate with technical teams to collect specifications for initial show set-up.
- Assist in the preparation and organization of equipment and materials needed for finishing projects.
- Enter and actualize work orders for operators.
- Communicate with other teams regarding receipt and shipment of files.
- Facilitate distribution of information across team members relating to schedule, tasks, technical issues, etc.
- Responsible for managing the department calendar and scheduling.
- Send out invitations for supervised sessions, ensuring all stakeholders are informed and meetings run smoothly.
- Set up and manage Zoom calls for in-room and remote meetings as required.
- Ensure all technical aspects are functioning correctly to facilitate effective communication.
- Monitor and track engineering issues and updates through the Finishing Slack channel.
- Collaborate with the technical and/or development team to ensure timely resolution.
- Assist in tracking and managing marketing bill-back accounting, ensuring accurate records and reporting.
- Provide general administrative and operational support to the Senior Manager of Finishing and the entire department.
- Assist in coordinating logistics, organizing files, and handling any other tasks as required.
- Coordinate facilities requests, access requests, and drive-on requests.
- Cover lunch orders and session set ups if our PA is unavailable.

**Qualifications**:

- High school diploma or equivalent required; a bachelor's degree in a related field is a plus.
- Proven experience in a coordinating or administrative role, preferably in a technical or production environment.
- Familiarity with entertainment industry post-production workflows and processes.
- Strong organizational, time management, and problem-solving skills.
- Excellent attention to detail.
- Excellent oral and written communication skills.
- Computer literate with knowledge of relevant scheduling, budgeting, and workflow software.
- Ability to work as part of a team, take direction, and mentor junior post production staff.
- Ability to work calmly under pressure.
