Reporting to the Director of Student Life, the Coordinator for Student Life (Coordinator) is a full-time professional staff member responsible for many administrative operations supporting the Office of Student Life ( OSL ). Many of the responsibilities include establishing and managing the procurement and reimbursement process, polices, Student Activity Fund ( SAF ) allocations, event planning and management, as well as providing training for student organization leaders. In addition, the Coordinator oversees student employees who work in on campus spaces dedicated to student organization activity (i.e. Elevate Underground Lab and the like). The Coordinator also works collaboratively with the Illinois Tech community to execute large-scale events for students (i.e. Convocation, residential move-in, Welcome Week events, Homecoming, etc). The Coordinator also serves as the Finance Board primary staff advisor.

COMMUNICATIONS
The Coordinator is expected to have excellent electronic, written, and verbal communication skills. The Coordinator’s constituents are students, organization advisors, campus partners, and vendors/agents/external event organizers.

CUSTOMER SERVICE
The Coordinator is expected to provide excellent service as appropriate for their constituents.

Special Schedule Requirements
The university is open year-round. Daily operations are 8:30am-5pm. Some nights and weekends -will be required for student-facing events.

Education & Experience
Bachelor’s degree with 1-2 years professional work experience

Knowledge & Skills

SUPERVISION & BUDGET AUTHORITY
Knowledge in procurement, event planning and management, and experience in higher education preferred. Supervisory and training experience a plus.

Physical Environment and Requirements
The work environment requires mostly computer work and meetings with people (in-person & virtual). Light lifting, posting signage, moving items for event set-up and tear down may be required.

Key Responsibilities

Key Responsibility
Manage the procurement and reimbursement process and policies for spending from the Student Activity Fund ( SAF ). Schedule and facilitate monthly training sessions regarding event planning and spending.

Key Responsibility
Ensure spaces utilized by student organizations have regularly defined staff coverage. Spaces include but are not limited to Elevate Underground Space, SAE garage, Women’s Center, and Chapel. Supervise and train students who work in the spaces. Manage student org space requests and facilitate monthly inspections of the spaces.

Key Responsibility
Establish regular meetings with the Finance Board student organization. Attend hearings and advise on communication and training regarding SAF allocations, as well as decisions surrounding finance proposals.

Assist with large-scale student life programs and other student-facing events. Other duties as assigned.
