We are seeking a Corporate Program Specialist to join our team at ATPCO. You will provide administrative and secretarial support to the President of the company. In this multifaceted role, you'll be responsible for a range of essential functions including corporate travel program management, credit card program oversight, business insurance coordination, board relations facilitation, new hire orientation, corporate social responsibility initiatives, notary services, and Workday Expenses administration.
**Qualifications**
You will:

- Serve as administrator for corporate travel agent (Spotnana), maintain and communicate ATPCO's Travel & Expense policy, provide employee training/support on both, and ensure employee compliance with policy; manage pass travel program.
- Act as the primary POC for employees, participate in program/supplier changes and implementation, maintain cardholder accounts (new/replacement/cancelled), review/analyze monthly credit card transactions.
- Be responsible for coordinating activities in support of corporate insurance policy renewals, familiarization with policies and coverage details, maintain COIs for distribution as needed.
- Serve as the executive presence at board meetings/events, have direct communication with board members and shareholders, maintain corporate admin and legal documents, conduct new board member orientation that includes an overview of their responsibility as a board member and a review of ATPCO's bylaws and AOI, possess a comprehensive understanding of ATPCO's bylaws and AOI to ensure compliance for board/board committee meetings and shareholder meetings, maintain OnBoard content, plan and execute board of directors events (meetings, dinners, group outings, etc.). ATPCO shareholder administration includes maintaining stock certificates, plan and facilitate Special & Annual shareholder meetings, prepare required documents for all shareholder meetings, and maintain shareholder proxy validity.
- Provide overview of corporate policies and procedures for new hire orientation
- Vet charitable organizations for annual North America charity campaign, organize group community involvement events/opportunities, establish ATPCO's corporate position on sustainability, develop ATPCO’s Duty of Care program.
- Notarize ATPCO corporate documents and provide notary services to employees when needed.
- Create and facilitate end-user training for all ATPCO employees, review and approve employee expense reports to ensure accounting accuracy and T&E policy compliance, primary POC for employee support.
- Proven experience as an Executive Administrative Assistant or similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office suite and other relevant software.
- Ability to handle sensitive information with confidentiality.
- Exceptional attention to detail and accuracy.
- Flexibility and adaptability to changing priorities.
- Professional demeanor and strong interpersonal skills.
- Bachelor's degree preferred.
- 8-10 years of working experience supporting C-level executives is a plus.
