Description:
Job Responsibilities:

- Review and process incoming referrals and inquiries for services or care.
- Collect and verify client information, including personal details and insurance information.
- Coordinate and schedule appointments for initial assessments or consultations.
- Communicate with healthcare providers, clients, and their families to ensure smooth intake processes.
- Maintain accurate and confidential client records in accordance with company policies and regulatory requirements.
- Provide information to clients about services, procedures, and protocols.
- Follow up with clients to confirm appointments and provide reminders.
- Assist in the coordination of client transportation if necessary.
- Work collaboratively with licensed healthcare professionals to determine the appropriate level of care.
- Handle administrative tasks such as answering phones, filing documents, and data entry.
- Monitor and manage client waitlists, ensuring timely access to services.
- Participate in team meetings to discuss client cases and intake processes.
- Assist in the development and updating of intake forms and documentation.
- Provide support and assistance in crisis situations following established protocols.
- Ensure compliance with all federal, state, and local regulations pertaining to client intake and privacy.
- Assist with the training of new staff on intake procedures and policies.
- Contribute to the continuous improvement of intake procedures based on feedback and operational requirements.

**Requirements**:

- High school diploma or equivalent; post-secondary education preferred
- Strong organizational and administrative skills
- Excellent communication skills, both verbal and written
- Ability to handle confidential information with discretion
- Proficiency with office software (e.g., Microsoft Office Suite) and electronic record systems
- Capable of multitasking and managing multiple priorities effectively
- Experience in a healthcare or social services setting preferred
- Ability to work independently as well as part of a team
- Strong customer service orientation
- Knowledge of medical terminology is an asset
- Bilingual or multilingual abilities may be preferred, depending on the community served
- Flexible availability, including potential evening or weekend hours
- Physical ability to perform office tasks and assist with patient flow if necessary
- Willingness to undergo necessary training or certifications as required by the employer or law
- Understanding of basic office equipment, such as fax machines, copiers, and phone systems
- Demonstrated problem-solving skills and ability to make decisions under pressure
- Commitment to maintaining patient privacy and following HIPAA guidelines (or applicable privacy laws for the country of employment)
