**Position**: Vita Operations Manager

**Reporting**:You will be reporting directly to the Il Buco Vita Managing Director & DO

Vita NYC is located at 4 East 2nd St, Manhattan NY 10012. This is a full-time position(On-Site).

**Responsibilities**:
The Operations Manager role of il Buco Vita is an integral member of the il Buco Family, building on the achievements and successes of the company, and assisting new and exciting initiatives to continue to grow this boutique brand and business.
- **Responsibilities include but are not limited to**:_

Working with the Il Buco Vita Managing Director on protocols, warehouse organization and controls, and vendor relations.

**Warehouse**
- Support the Managing Director and extended Vita team in signing and closing new Wholesale Accounts
- Work with the Managing Director to understand sales goals and pinpoint potential challenges - try to alleviate before they arise
- Service new & existing Wholesale Accounts to build and expand their selection of Vita products
- Oversee day-to-day operations working closely with the Logistics Director and Casa Vita team to ensure wholesale orders are approved by client, processed, shipped and delivered on expected timelines
- Collaborate with the Managing Director and Store Directors on new client outreach and communications especially during key periods of development, i.e. Shoppe Object, the holiday season, etc.
- Collaborate with Marketing Team to update line & price sheets
- Lead outreach to wholesale clients with new product assortments, line sheets and price sheets as necessary
- Responsible for billing & collection on all Wholesale accounts

**Production / Store Inventory**:

- Use past sales, current goals and inventory to project accurate needs for production from artisans and third party vendors on a monthly basis for both retail & wholesale
- Communicate with Managing Director and Store Directors to support Vita’s product needs while considering supplier production capabilities, with special attention to upcoming sale periods, seasonal fluctuations and addition of new clients in both online partnerships and wholesale arenas
- Monitor vendor invoices to ensure accurate costs are reflected in production orders, inventory and Shopify
- Create & manage allocation calendar in consultation with Logistics Director and Store Directors to ensure brick & mortar locations are regularly replenished
- Coordinate sea freight and express delivery logistics with Managing Director and Store Directors
- Responsible for overseeing monthly and quarterly inventory reports to Accounting and Executive teams

**Retail**:

- Trade Accounts: _
- Primary contact for new and existing trade accounts.
- Work closely with Designers and their teams to build & maintain relationship, grow revenue and ensure timely deliveries
- Receive & process product loan requests from PR and Marketing Teams and trade accounts and coordinate loans based on product availability
- Works closely with store directors to expand trade business through their contacts
- Responsible for initial outreach from online contact form submissions. Introduce new trade accounts to the Vita collection and ordering process
- Wedding Registry:_
- Lead the registry set-up process with new clients.
- Introduce clients to the Vita collections, walk them through building their registry selection based on needs and preferences and upsell when possible
- Manage fulfillment of all registry purchases
- Trouble-shoot registry platform issues as they arise
- In-store:_
- Assist with NYC in-store sales and merchandising as needed
- Work closely with NYC Store Director and NYC team and serve as a Sales Associate as needed
- Partner with NYC Store Director as the first point of contact for all customer service issues for retail, wholesale and dropship orders
- Receive all international shipping inquiries and execute
- Dropship:_
- Assist Managing Director and NYC Store Director in product upload process for new and existing dropship accounts
- Troubleshoot technical issues with dropship team and third-party apps to ensure seamless user experience and maximize potential sales
- Supervise store inventory and notify dropship teams of any low in stock products to pull from site
