**Job Title**:Administrative Assistant to the Chief School Business Official (CSBO)
- **Classification**:Secretary
- **Primary Function**:

- This individual will represent the CSBO in matters related to transportation (school busing, bus drivers, bus schedules, etc.), food service, and building maintenance (custodial staff, cleanliness, repairs, etc.). In addition, on behalf of the CSBO, this person may serve as the liaison between the school district and outside contractors.

- **Preferred Qualifications**:Fluent in Spanish; Bachelor’s Degree
- **Experience**:

- 2-3 years of demonstrated experience as an administrative assistant or secretary ideally in a school district or corporate office
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency with Google Suite (Docs, Sheets, Slides, Calendar, Forms, Gmail)

**Knowledge and Skills**
- Ability to drive a pick-up truck
- Willingness to learn to use a snowplow (connected to a pick-up truck)
- Ability to assist in managing staff
- Strong organization, communication, and interpersonal skills
- Positive attitude and demeanor
- Strong advocate for the rights of families
- Excellent reading, writing, and speaking skills in English (and Spanish preferably)
- Strong technological skills
- Strong organizational skills
- Ability to diffuse tense situations

**Essential Duties and Responsibilities**:

- **Transportation**
- Schedule all routes for bus drivers into a scheduling database
- Assign drivers to field trips and sports by seniority
- Communicate with parents as needed
- Coordinate maintenance, services, etc. for all buses with Berwyn Garage
- Communicate and set up transportation with contracted services for outplacement and McKinney Vento compliance
- Collaborate with McKinney Vento liaison regarding shared cost agreement with other districts
- Submit billing to other districts for transportation services
- Assist as a bus aid if needed (due to low coverage resulting from absence)
- Monitor and order cleaning supplies, harnesses, car seats, etc.
- Collect, organize, and file documents related to bus driver certification

**Building and Grounds**
- Assist all head custodians with the ordering of supplies
- Assist in communicating with vendors and contractors
- Communicate with head custodians regarding issues and/or concerns related to their respective buildings
- Monitor and manage all maintenance and service contracts
- Monitor and manage building projects; painting, filters, etc.
- Coordinate and monitor Life Safety visits
- Review work order system, FMX daily and prioritize and monitor for completion
- Seek RFPs or quotes for services and equipment
- Assist in project meetings with contractors/architects
- Monitor asbestos inspection
- Travel to schools as needed regarding building issues or services
- Collect, organize, and file forms required for building compliance (AHERA), building floor plans, air and water quality tests, etc.

**Food Service**
- Assist with monthly claim reimbursement report
- Assist with monthly Fresh Fruit and Vegetable claim report
- Communicate with Lunchroom Lead (bookkeeper)
- Order supplies
- Communicate with Culinary Creations staff as needed

**Other**
- Organize and monitor staff training and professional development
- Comply with district policies, as well as state and federal laws and regulations
- Maintain confidentiality in all aspects of the job
- Ability to interpret a instructions furnished in written or verbal form
- Ability to operate office technology and related software
- Ability to work within a team environment
- Ability to walk and/or stand for extended periods of time
- Other duties as assigned
