**CRESTWOOD SCHOOL DISTRICT**

**Position Description POSITION TITLE**:Central Registration Secretary/General Secretary **DATE**:May 28, 2024

**LOCATION**:District Wide -- Initial Assignment Secondary Campus

**DEPARTMENT**:Central Administration

**REPORTS TO**:Assistant Business Manager/Athletic Director

**POSITION GOAL**:To support and facilitate the successful operation of the central registration of the Crestwood School District. To perform all general secretary duties as assigned.

**ESSENTIAL DUTIES RESPONSIBILITIES**:
1. Set appointments with families for registration.

2. Assist & Register families. Ensure all appropriate paperwork is in place and communicate with building principals and departments.

3. Track Athletic cash deposits and track payments in Excel and QuickBooks.

4. Count, sort, and deposit cash back into the Athletic account after receiving the same from the Athletic Director.

5. Process requests for Cash Box funds as needed and prepare Cash Boxes for use with the appropriate denominations of cash in each.

6. Once payment has been processed and checks are signed, process them through a postage machine and mail them out.

7. Pay all vendors working at every sporting event (officials, timer, scorekeeper, announcer, security)

8. File Athletic game sheets.

9. Provide template uploads to Herff Jones/Lifetouch for picture day, graduation, etc.

10. Run Reports for administration as requested/needed.

11. Properly communicate to all staff information that is relevant to them.

12. Provide support to other secretaries/administrators when the need arises.

13. ACT 80 (every February): Receive a list of taxpayers, usually around 10,000 names, that need to be recognized as Crestwood SD Taxpayers (receive files from the Business Office) or not. Look up unknown addresses and forward them to the correct SD for resolution. Send copies of REV-1329 to the PA Department of Revenue.

14. Handle payments/collections for the student activities account.

15. File and maintain Building usage Forms.

16. Collect and maintain Athletic clearances and certifications.

17. Invoice front marquee sponsorships.

18. Invoice Building Usage Fees to Requestors.

19. Collect and maintain references.

20. Perform other assigned duties by the Assistant Business Manager/Athletic Director.

21. Enter all events into the School District calendar, including but not limited to schedule star.

**QUALIFICATIONS**:
1. The Secretary must possess and demonstrate the ability to perform essential duties and responsibilities.

2. **SKYWARD **knowledge preferred.

3. Proficient in Microsoft Suite.

4. Minimum associate degree, bachelor’s degree preferred.

5. Quick Book Knowledge preferred.

**TERMS OF EMPLOYMENT**:
1. Full-time -260-day appointment.

2. Hourly rate according to the agreement between the Crestwood School District of Directors and support staff CBA.

Pay: From $18.63 per hour
