**Athletic Secretary**

**DEFINITION**:
Under general supervision, assists the Athletic Director by performing a variety of duties relative to the operation of the Athletic Department.

**REPRESENTATIVE DUTIES**:

- The following duties are typical of those performed by employees in the classification, however, employees may perform other related duties not listed and not all duties listed are necessarily performed by each employee._
- Assist the Athletic Department in general office work, such as correspondence, schedules, reports, purchase orders, etc.
- Assist the Athletic Director with budget control in each program of the Athletic Department; this includes monthly reconciliation of all ASO and foundation accounts, keeping accurate accounting records
- Serve as the contact person for the Athletic Department between Taft College, the Central Valley Conference, the California Community College Athletic Association (3C2A), and the general public
- Assist in determining the 3C2A mandated eligibility of student athletes. and submit athletic eligibility reports to the 3C2A and the Central Valley Conference Commissioner.
- Ensure daily continued eligibility on all student athletes
- Answer phone calls and information inquiries with accurate facts; reflect the college programs in a favorable light and distribute messages to the proper personnel
- Order office equipment and supplies for the Athletic Department
- Independently answer routine correspondence
- Responsible for the management of Athletic Admissions materials including dissemination to students, collection from students, continuous follow-up with students and distribution to appropriate offices upon collection of completed materials
- Responsible for arranging transportation and lodging for the athletic teams, the athletic director, or any other staff as needed
- Assist and advise student workers.
- Assist as needed with Taft College Athletics web page updated.
- Perform other related duties as assigned.

**EMPLOYMENT STANDARDS**:
**Minimum Qualifications**:

- Associate Degree
- Two years of administrative and clerical support experience.
- Possess the sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students.

**Desirable Qualifications**:

- Ability and desire to work with people, concern for student's growth and progress.
- Ability to use Microsoft Office, particularly Word, Excel and databases.
- Knowledge of the 3C2A and NCAA eligibility rules and regulations.

**Personal**:

- Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students; and of staff and students with physical and learning disabilities.

**Knowledge of**:

- Knowledge of and proficiency of MS Office; communication skills, correct spelling, and accurate typing skills
- Knowledge of Taft College athletic programs, rules, and regulations, reporting procedures, and scheduled events
- General understanding of all aspects of the Athletics Department
- Knowledge of Title V eligibility rules for athletes and reporting procedures
- Knowledge of the 3C2A Constitution and Bylaws
- Knowledge of college procedures; prepare, file, keep accurate records.
- Knowledge of Taft College Admissions, Residence Hall entrance, and Athletic Department processes and materials. Ability to communicate effectively with administration, faculty, staff, students and the public.
- General understanding of the budget, budget codes, purchase order processes, etc.
- Be familiar with budget codes and maintain accurate records.

- Ability to provide high level of customer service on the phone and in person

- Ability to communicate effectively with administration, faculty, staff, students, and the public.
- Ability to work at a desk, a conference table, or in meetings of various configurations.
- Ability to stand and circulate for extended periods of time.
- Ability to see for purposes of reading laws, codes, rules, policies, other printed matter, and observing students.
- Ability to hear and understand speech at normal levels.
- Ability to communicate so others will be able to clearly understand a normal conversation.
- Ability to lift and carry 25 lbs.
- Ability to reach in all directions.

**Working Conditions**
Assignments are typically 40 hours per week and 12 months per year.
May require overtime or evening hours throughout the year for special events and assignments.

**Salary and Benefits**
The salary range for the position is a Range 24 on the Classified Salary Schedule with a range of $27.86- $37.18 per hour. This is a full-time, 12-month per year position.
