**Pay Rate**: $17.51/hour

**Earning Days**: Determined by the negotiated calendar

**SUMMARY OF POSITION**:
The Athletic Office Secretary is responsible for providing secretarial support services to the Athletic Director.

**JOB FUNCTIONS**:
Provide regular secretarial duties as needed in performance of job (typing, filing, payroll, supplies, mail, answering phones, responding to questions, scheduling appointments, ordering materials, etc..)
Responsible for the daily functioning of the Athletic Office.
Maintain athletic schedules using “Schedule Star” and critical timelines for the department.
Responsible for the scheduling of team transportation.
Assist AD’s in scheduling of trainers, officials, etc. for contests.
Provide necessary clerical assistants for coaching staff.
Responsible for communications, obtaining team rosters, and developing communications from the office.
Prepare various documents for the Athletic League, MHSAA (Michigan High School Athletic Associations), District Administrators and coaches in an efficient and organized manner.
Assist in the coordination of Student Eligibility process. Including gathering of information that is needed for committee members and scheduling student/parent appeal hearings.
Assist in the equipment/material inventory process.
Assist in the coordination of the department major fundraisers (Thanksgiving Day run, Grand Rapids Invitational and the Downtown Gus Macker Jam).
Interact with co-workers, administration, students, parents and the community in positive, supportive and cooperative ways.
Other duties as assigned.

**REQUIRED QUALIFICATIONS**:
High School Diploma or equivalent.
One year of successful previous secretarial experience.
Aptitude for detail work, record keeping and filing.
Excellent communication skills, both written and verbal.
Good organizational skills, including filing and records maintenance.
Ability to manage multiple tasks and work under pressure.
Ability to make sound decisions independently.
Demonstrated respect for confidentially.
Demonstrated excellent attendance and punctuality.

**PHYSICAL DEMANDS**:
While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus.

**WORK ENVIRONMENT**:
The noise level in the work environment is usually loud to moderate. Work is performed indoors although there will be required outdoor activities. The employee is directly responsible for the safety, well-being and work output of students.

**MENTAL FUNCTIONS**:
While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing in the English language, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
