**Respite Coordinator Job Description**

Scope of Work:
The Respite Coordinator assists the Senior Respite Director and the Respite Specialist in the delivery, implementation, and support of the various respite programs. Specifically, the Respite Coordinator is responsible for the daily operations of the weekend respite events and will assist with the NAVY EFM Respite Program.

Major Duties and Responsibilities:
Navy EFM Program:

- Assists with the administrative duties to meet grant requirements
- Develop and implement recruitment strategies
- Assist with recruitment and onboarding (conduct phone screenings, interviews, multiple forms of communication and follow-up, etc.) of respite care providers
- Ensure all providers’ hourly EFM rate follows the approved Service Contract Act (SCA) minimum hourly rate and training/experience tiers established
- Help maintain a viable pool of respite care providers
- Select licensed and accredited child care programs for Navy EFM Respite Care by conducting on-site visits, reviewing licensing records for any serious licensing violations, and assessing provider’s life experience and training in special needs, as well as certification or other credentials.
- Train and screen family preferred respite care providers who are requested by an existing Navy family currently enrolled.
- Develop and implement trainings and/or workshops
- Conduct and/or assists with trainings and/or workshops
- Performs client intakes and orientations as needed
- Conduct an annual check-in and provider follow-up calls with each family
- Provide the family with a customized enhanced referral list of providers
- Match families and providers and monitor those matches
- Conduct site visits in the DC/MD/VA area (evening and weekend hours are required)
- Write up conducted site visits and submit to Senior Respite Director
- Ensure reports are accurate and submitted within the deadline
- Maintain current demographic information on the status of each Navy Sailor’s family
- Assists in maintaining client files
- Communicates clearly and concisely with clients
- Establish and maintain electric files on each client
- Compile and maintain data entry for reporting information.
- Maintain accurate excel documents for reporting purposes and submit to Senior Respite Director
- Provide ongoing technical assistance with families and respite care providers
- Address and properly respond to client’s concerns with guidance from Senior Respite Director

DOD In-home Program:

- Conduct in-home site visits
- Complete in-home site visit forms and send to the Senior Respite Director (evening and weekend hours are required)

Community Center-Based Respite:

- Attend each Saturday Center-Based Respite event (one Saturday a month)
- Plan the logistics and activities of the respite events (i.e. entertainment, crafts, schedule, food, matching, timeline, etc.).
- Assist with facilitation of planned activities prior and day of the event.
- Review and prepare materials for families and volunteers (Registration/in-take forms, screening form, etc.)
- Assists families/participants with the intake paperwork and process through multiple forms of communication.
- Ensure all required paperwork is thoroughly completed and submitted for volunteers and participants.
- Establish positive relationships with volunteers and families.
- Conducts satisfaction surveys with participants and volunteers
- Maintain excel documents that include multiple aspects of the program (i.e. participants, volunteers, monthly participation, matches, etc.)
- Maintain accurate excel documents for reporting purposes and submit to Senior Respite Director
- Prepare reports on a timely and accurate basis
- Assists Senior Respite Director with additional Internal Reports
- Perform other operational and administrative duties.

Little Warriors:

- Recruitment of Wounded Warriors when applicable (Attend Wounded Warrior fairs, outreach, etc.)
- Conduct tours for the Wounded Warriors at the IGC and provide information on the various respite opportunities available.
- Ensure all paperwork is turned in
- Create, implement, and evaluate surveys
- Maintain excel database for Wounded Warrior families.
- Assists with the Military administrative duties to meet grant requirements.
- Assists with provider recruitment through various recruitment websites
- Monitor providers through Site Visits where respite is occurring every other month or quarterly (travel & weekends required)
- Complete site visit reports for those site visits conducted
- Update excel documents
- Assists with special events i.e. Circus, Pro-Am, Advocacy, etc.
