As we continue to expand our Operations team, we are seeking a dynamic and detail-oriented Operations Specialist to join the team and support day-to-day operations. The Operations Specialist position allows for a hybrid work structure working remotely and from one of the six offices in MA, CT, or NH.

The Operations Specialist will be responsible for a wide range of activities, including special project coordination and administrative support. This position offers an exciting opportunity for a proactive and organized individual to contribute to the success and growth of our firm.

Responsibilities include:

- Perform complex document creation and formatting tasks using Microsoft Word, Microsoft Excel, Adobe, and other software.
- Be a primary resource for staff for Microsoft Office troubleshooting and training.
- Maintain and track compliance on contracts, agreements, and safety requirements.
- Co-champion the implementation of the Learning Management System in coordination with Department and Service Leads.
- Co-champion the company Intranet.
- Co-champion the implementation of the company CRM.
- Occasionally visit the offices to ensure compliance and to coordinate office logistics and special projects.
- Become a Vantagepoint Super User to be a resource for staff.
- Assist with administrative tasks such as scheduling meetings and tracking initiative timelines and progress.
- Research and implement operational efficiencies with the Office Administrators
- Collaborate with other departments, including Finance, People & Culture, and Business Development, to support cross-functional initiatives and projects.
- Participate in meetings, training sessions, and professional development activities to enhance skills and knowledge of company operations and industry trends.
- Assist with special projects as needed.
- Bachelor’s degree in Business Administration or Management and two years of related experience or 10+ years of related work experience
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues at all levels of the organization
- Detail-oriented and resourceful, with the ability to identify problems, propose solutions, and follow through to resolution
- Innovative mindset with proactive approach to finding solutions
- Proficiency in Microsoft Office and experience with CRM software or project management tools, notably with Deltek Vantagepoint or Egnyte
- Ability to work independently with mínimal supervision and collaborate effectively as part of a team
- Professional demeanor with a positive attitude, strong work ethic, and commitment to delivering a high-quality work product
- People management experience a plus
