**Position Summary**:
The Assistant Facilities Manager is responsible for ensuring the optimal operation of our corporate office. This includes overseeing maintenance activities, managing vendor relationships, implementing safety protocols, and coordinating space planning and renovations.
**Key Duties and Responsibilities**:
- Assist in developing and implementing a facility management program including preventive maintenance
- Supervise maintenance and repair of facilities, Conduct and document regular facilities inspections
- Plan and coordinate facility central services such as cleaning, catering and parking
- Oversee facility refurbishment and renovations
- Oversee all mailroom duties, distributes daily mail pick-up from Post Office
- Manage facility space for maximum efficiency, coordinate intra-office moves
- Plan and coordinate facility central services such as cleaning, catering and parking
- Obtain quotes and tenders from vendors and suppliers
- Calculate and compare costs for goods and services to maximize cost-effectiveness
- Assist in negotiating contracts for maintenance/repair
- Review, monitor and approve office supplies purchases including business card orders and any other print needs
- Assist manager with building maintenance contractor and vendor relationships
- Coordinate and review service contracts to ensure facility management needs are being met
- Check completed work by contractors and vendors
- Verify payment and invoicing match contract pricing
- Assist in management and training of receptionist
- Develop and implement cost reduction initiatives
- Responsible for monitoring and making sure the fire alarm system works properly
- Provide prompt response to requests and issues from facility occupants
- Provide support for special projects, such as inventory, mailings etc.
- This position has been designated as a safety sensitive position
**Critical Knowledge and Skills**:
- Negotiation knowledge, problem-solving, decision-making, judgment, teamwork and adaptability
- Reliable, good interpersonal, communication, planning and organizational skills
- Friendly upbeat attitude and customer focused
- Detailed oriented and able to multi-task with mínimal supervision
- Knowledge of electrical and mechanical systems
- Knowledge of procurement and contracts
- Work in a constant state of alertness and safe manner
**Education and Experience**:
- High School diploma required
- An Associate’s Degree or a degree/diploma from a Technical School preferred
- Experience in construction, maintenance and facility operation preferred
- Supervisory experience preferred
