**Definition**:
**Definition**:Under general administrative program supervision from the Centralized Scheduling Manager, this position oversees the daily operations and supervises the Purchased/Referred Care (PRC) Coordinators of the Salt River Centralized Scheduling Department, including; coordinate and monitor all PRC referrals, serves as an advisor on the PRC program on policy implementation and interpretation, program planning, program development, administration, management, operation, and evaluation of a comprehensive PRC program. **This job class is treated as FLSA-Exempt.**

**Examples of Tasks**:
- 1. Workflow, Direction and Supervision:_ Direct supervision of HIM Technicians and PRC Coordinators, clinical & non-clinical health support staff daily to provide direction, training, and guidance in the maintenance/safekeeping of patient health records and referrals while maintaining security, confidentiality, accuracy, completeness, and accessibility of health information.
- Schedules and supervises the work of assigned staff to achieve the defined business goals and to ensure smooth workflow in the department.
- Coordinates team activities and the staff to workload ratios to accomplish the most effective use of resources.
- Sets work goals for team members and monitors measurable outcomes in accuracy, timeliness, productivity and service quality.
- Provides leadership, work goals and coaching for staff. Selects, hires and trains staff for assigned area. Conducts performance reviews, coaching/disciplinary action and termination of assigned staff following the Community’s personnel policies.
- Uses advance business and software skills for creating documents, letters, spreadsheets, reports, and presentations. Identifies training needs and provides and/or arranges for needed training.
- Approves leave requests, provides advice, counsel or instructions to employees on both work and administrative matters.
- Identifies and implements changes regarding policy, productivity and quality measures, and assures that staff performance improvements related to work-flow efficiencies and operations.
- Provide support and technical assistance to the PRC Coordinators on matters involving referrals for medical, surgical, dental, hospital and clinical services to all eligible beneficiaries.
- Performs liaison functions with contract health providers, state and local agencies; and monitors/reports status of PRC activities and funds. Prepares analytical data, staff reports and memoranda which reflect utilization of PRCU resources.
- Maintain up-to-date knowledge on regulatory changes for effective management of the health record system and PRC program and guidelines
- Performs other duties as assigned.
- 2. Organizational Management and Operation_: Maintains and operates the Centralized Scheduling Department in accordance with Community and departmental standards, guidelines, policies and procedures.
- Maintain knowledge of current government and payer-specific regulations governing billing of patient services.
- Maintains staff retention by ensuring the recruiting, selecting, orienting and training of employees, maintaining a safe, secure and legal work environment, developing personal growth opportunities.
- Develops strong inter-departmental teamwork to meet the needs of the patients and providers and drive decision-making and other actions.
- Responsible for assuring customer/patient service needs are met. Monitors patient service feedback and contributes to the process of resolving complaints and service issues. Plans and initiates process improvement.
- Ensures all equipment and other supplies utilized by staff in the department are ordered as needed.
- Develops, recommends and implements changes to policies and procedures as necessary.
- Demonstrates strong written and verbal communication.
- 3. Measurement and Evaluation of Performance: _Provides oversight Centralized Scheduling Staff, as such the following measures are the responsibility of the position:
- Prepares monthly statistical reports on data quality, individual staff daily input, patient referrals, PRC funds, and other necessary measurements within HIM and PRC.
- 4. Patient Eligibility/Interaction:_ Performs the duties of the HIM Tech, and PRC Coordinator, and becomes the escalation point for patient concerns.
- Performs technical assistance with all HIM and PRC functions and duties.
- Receives and responds to inquiries and makes appropriate referrals of questions pertaining to patient data.
