Title: High School Athletic Secretary

QUALIFICATIONS:

- High school diploma, at a minimum. Some college preferred.
- Minimum of two (2) years of successful secretarial experience preferred.
- Possesses excellent typing, clerical, computer and communication skills.
- Possesses effective interpersonal skills and realizes the importance of maintaining positive public relations with students, parents and staff.
- Works cooperatively with others.
- Exhibits a pleasant, positive attitude and caring demeanor.
- Shows willingness to learn new things.
- Demonstrates confidentiality in handling student and family information and ability to keep accurate records.
- Shows a willingness to ask questions, when necessary.
- Demonstrates initiative and excellent work habits (attendance, punctuality, responsibility).
- Additions to the above qualifications as the board of education deems appropriate.

REPORTS TO: Athletic Director/Campus Principal

PRIMARY FUNCTION:
Maintains the daily flow of activities in the High School Athletic Office.

PERFORMANCE RESPONSIBILITIES
- Coordinates the operation of the Athletic office.
- Answers the Athletic office telephone and the main office telephone in a timely manner, and provides assistance to visitors at the Athletic office.
- Welcomes students, parents and general public in a pleasing and courteous manner and provides assistance as needed.
- Utilizes good communication skills with parents, staff and students as necessary.
- Assists with receiving, sorting and dispersing mail (incoming and outgoing).
- Types and photocopies a variety of materials.
- Maintains supplies and office machinery for the Athletic Office.
- Provides secretarial assistance for Athletic Department and the Athletic Director.
- Processes all requirements involved for student athletes enrolling in a sport. This includes ensuring all eligibility requirements are met, such as physicals, parental permission, etc. High School Athletic Secretary
- Coordinates student athletic information and forwards information to students, parents, staff and the Business Office in a timely manner.
- Coordinates all transportation requirements for all High School athletic teams.
- Generates and maintains various reports, including student/parent handbooks, teacher handbooks, athletic handbook, weekly athletic eligibility reports, graduation materials, etc.
- Coordinates and supervises annual sports physical exam day.
- Types and posts daily announcements.
- Coordinates the production, announcement, selling, and issuing of athletic tickets to students, staff and parents.
- Coordinates the scheduling, use, and record-keeping for school-owned extracurricular vehicles.
- Maintains and monitors student immunization records and all related correspondence and reports.
- Maintains a proper filing system to provide appropriate information regarding all phases of responsibility.
- Assists the high school main office and high school career resource center secretaries, as needed.
- Assists the High School Principal with graduation activities.
- Informs the Athletic Director or building Assistant Principal of any problems that may arise concerning the responsibilities of the Athletic secretary.
- Performs other related duties that may be assigned by the building Assistant Principal or Athletic Director.
