**Essential Duties and Responsibilities**

**General Office Duties**
- Explain the referral/evaluation process for children ages 3-5 and/or private school students, requirements (e.g., supporting documentation), and provide general information to parents
- Coordinate intake and initial review and analysis of Early Childhood Information packet, private evaluations, medical reports, and Private School Information packet
- Coordinate the gathering of information and preparing documents for the Private School Consultation meeting with follow-up mailings for private schools not in attendance
- Assist with monthly Preschool Screening, ECI Transition, and Service Plan meetings by scheduling appointments, preparing ECI transition information packets, reserving/setting up room, and preparing notice letters
- Maintain a fully indexed and cross-referenced bank of letters, documents, and articles previously produced by the Early Childhood Intake Center or Private School Referral for future matters
- Assist the Director of Special Education, Program Manager for Evaluation, Administrators and District personnel relating to Early Childhood and Private School Intake issues

**Compliance**
- Prepare and maintain electronic spreadsheets of parent contact, as well as early childhood and private school students referred for evaluation
- Process and upload referral information and additional documents to the Success Ed program
- Disseminate files to the Program Manager for Evaluation or designee for assignment to the Early Childhood Evaluation Team or Initial Evaluation Team
- Coordinate intake and initial review of Part C/Early Childhood Intervention (ECI) documents from agencies and monitoring said referrals based upon a strict timeline

- Associate's degree preferred
- Minimum of 3 years of clerical experience in K-12 institution, experience in Special Education setting preferred
- Professional demeanor, effective communication skills, personal integrity, self-starter and the ability to work with complex issues in a confidential and fast paced work environment
- Ability to organize and prioritize workload; ability to multi-task and perform on deadline
- Ability to establish and maintain effective working relationships with others

The position requires occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying work related items weighing less than 40 pounds, such as books, papers and presentation materials. The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.
