**SUMMARY**: Responsible for providing administrative support for the functions of the school, and direct support to the building principal for management of operations.

**TERMS OF EMPLOYMENT**:Salaried 12-month, support position. Typical workdays are 8 hours in length, with occasional work occurring outside normal working hours in the evenings during the week and weekends. The position may also involve work during school holidays and planned/unplanned school closures.

**EDUCATION and/or EXPERIENCE**:

- High school diploma (Bachelor or Associate degree in Business, Education, or a related field from an accredited college or university preferred) - At least 5 years of related work experience.

**Specific Position Responsibilities**:In carrying out this role the Administrative Assistant for a School Building shall:

- Manage the school’s daily routines and operations.
- Act as the building’s custodian of all records, schedules, reports, and directives.
- Manage accurate database records for all district students served at the building level.
- Maintain accurate records in support of MASD required state and federal reports.
- Maintain and account for all student absence and attendance.
- Oversee and assist in accounting for and providing for all personnel absence and attendance, including management of the district’s automated substitute system and accurate processing of timesheets.
- Organize and administer preparation of building-wide publications and other documents as needed.
- Assist in coordinating and planning school activities, events, and functional responsibilities related to school initiatives.
- Oversee and process all correspondence for the principal.
- Assist in building-level budget preparation and analysis processes.
- Assist in administration of building-level fund accounting processes.
- To perform such other duties as may be directed by the principal.

**General Expectations of the Position**:In addition to the specific responsibilities listed above, the Administrative Assistant for a School Building will be expected to:

- Demonstrate initiative and creativity to proactively identify and solve problems with mínimal direction.
- Maintain workflow by studying methods, implementing cost reductions, and developing reporting procedures.
- Manage workflow by assigning tasks to others daily, ensuring that deadlines are met and work is completed correctly.
- Create and recommend revisions of systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements, and implementing changes.
- Provide information, educational opportunities, and experiential growth opportunities for office staff and training new hires.
- Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
- Ensure operation of office equipment by coordinating preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Provide information by answering questions and requests.
- Coordinate and maintain supply inventories by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies.
