**Duties & Responsibilities**
- _Answer phone calls, respond to perspective_ _calls_, _and take notes._
- _Ask a series of questions for the_ _purpose of compiling data to determine the next course of action._
- _Receives, evaluates, collects data, and coordinates referral activities in collaboration with the Referral Department._
- _Reviews all alert calls for leads and creates leads on case management system - Smart Advocate._
- _Processes and uploads documents in case management system._
- _Organizes and scans documents._
- _Research police reports in Legal Plex._
- _Schedules and calendars appointments for the Investigators._
- _Maintains legal files and other relevant information in digital databases._
- _Disputes denial claims._
- _Makes transportation arrangements for clients and manages car service accounts._
- _Interacts with attorneys and paralegals to discuss the intakes timely. Communicate constructively and enhance resolutions._
- _Provides support to other administrative staff and performs other duties as assigned._
**Qualifications**
- _Communication effectively, actively listen, and convey points clearly and proactively._
- _Excellent verbal and written communication skills._
- _Demonstrate ability to use standard office equipment._
- _Proficient in Smart Advocate or similar case management system._
- _Proficient in Microsoft Office Suite or related software._
- _Excellent organizational skills and attention to detail._
- _Highly self-motivated._
- _Ability to multi-task in a demanding environment._
- _Attention to details._
- _Display a positive and professional with internal and external clients._
- _Flexibility and adaptability: may change direction and/available for overtime._
- _Possess critical thinking._
- _Excellent people skills._
- _Understanding of legal terminology and documentation._
- _Thorough understanding of GGL’s core values and goals._
- _Experience in working in a professional environment Medica/Health or Personal Injury Law firm experience._
- _Bilingual, facility with English and Spanish is required._
**Education & Experience**
- _High School Diploma, GED or equivalent._
- _Data Management preferred._
- _At least 2 years of experience in a Personal Injury legal firm or Medical Industry as a Receptionist, Medical Assistant or Referral Assistant._
**Physical Requirements**
- _Prolonged periods sitting at a desk and working on a computer._
- _Must be able to lift 15 pounds at times._
- _Able to travel to offices of GGL (Garces, Grabler & LeBrocq) as needed._
