The Lead Veterinary Receptionist has the responsibly of ensuring the highest level of customer service, the growth of client/patient base and retention as well as maintaining the professional and positive image of the hospital.

The Lead Veterinary Receptionist primary responsibilities:

- Ability to work in highly collaborative environment and commit to building relationships with colleagues, clients and community
- After 90-120 days, ability to manage current CSRs and train new CSRs
- Assist CSRs with client complaints in the absence of supervisor
- Lead by example and set a positive tone/work environment for team
- Engage in productive work and monitor productivity of other CSRs during slow periods
- Understand common vaccination protocols, basic lab test, common disease, veterinary terminology, and pet behavioral cues
- Maintaining an effective appointment schedule, screening emergencies and prioritizing cases that need to be seen (same day or next day vs wellness)
- Knowledge of basic triage concepts and understand when appropriate to transfer phone call to veterinary or technician
- Responsible for point-of-sale management including accepting cash, care credit and credit card payments for services rendered and for end-of-day cash drawer balance
- Be knowledgeable how to properly process Care Credit payments
- Encourage hospital retail sales (hospital online pharmacy vs chewy or others)
- Refrain from negative talk, gestures, and implied attitudes that reflect poorly on the hospital
- Ability to be open-minded and contribute to business improvement (takes pride in where they work)
- Assisting on-as-needed basis with prescription food ordering (Hill’s and Royal Canin)
- Meeting with practice manager and PO as needed on a bi-weekly or monthly basis to discuss staffing and/or procedural concerns

General tasks included but not limited to:

- Perform clerical work with speed and accuracy
- Be able to work under pressure without losing composure
- Manage a multi-line phone system and clients in the lobby at the same time, with or without assistance
- Ability to move quickly from reception to treatment area when moving appointments into rooms
- Maintain a neat professional appearance
- Keeping the reception area and room(s) clean and tidy as well as properly stock supplies as needed
- **Must be dependable**. It is important to have a reliable method of transportation
- Monitor and maintain the flow of the hospital, appointments and patients
- Has knowledge of currently available hw and f/t products as well as rules and regulation regarding the sale of those products
- Monitors appointment confirmations and calls clients who have not confirmed through the automated system
- Provides basic client and patient education over the phone; has ability to answer basic questions or take messages as appropriate and ensures follow-up later
- Obtain clear, accurate messages/questions so as veterinarian can provide appropriate medical recommendations
- Filling medication i.e. OTC medications, F/T and hw prevention, etc.

Job Qualifications:

- Prior experience in veterinary medicine industry is **REQUIRED**:

- Minimum 5 years of experience in receptionist setting
- Minimum 2+ years consecutive experience in leadership role
