We are seeking a detail-oriented and organized individual to join our team as a Parts Coordinator/Specialist. In this role, you will be responsible for managing various aspects of the parts ordering process and ensuring smooth operations within our facility. Pay is determined by experience. Key responsibilities include:

- Obtaining quotes from vendors and forming estimates for customers, including part ETA for turnaround time estimation.
- Maintaining and updating the Work Order Chart with price changes, part additions/removals, and part number updates.
- Generating Purchase Orders (PO) for part orders and properly labeling incoming invoices with customer names and PO numbers.
- Promptly placing part orders upon approval and communicating any changes in part ETA to relevant team members.
- Inputting part numbers, descriptions, and pricing into our system (Shop Key) for uniformity in invoices.
- Inspecting incoming parts for quality assurance and labeling them for easy identification by technicians.
- Maintaining an organized parts table for technicians' convenience and ensuring sufficient stock of essential supplies. Maintaining an organized parts warehouse as well.
- Coordinating with shipping carriers and vendors regarding shipping arrangements, in consultation with management.
- Assisting with DOT inspection write ups and labor claims coordination, as needed.
- Handling vendor calls and greeting customers at the front desk when necessary.
- Ensuring accurate record-keeping for credit card purchases and confirming card limits with management for high-dollar transactions.
- Establishing and maintaining positive relationships with suppliers on behalf of the company.
- Ensure folders are properly organized after parts have been entered into the system.
- Physical stamina and ability to lift and move heavy parts as needed.
- Valid driver's license.
- Reliable transportation for errands or deliveries.
- Flexibility to work outdoors in various weather conditions when assisting with shipping or receiving tasks.
