Program Assistant - Maintenance & Facilities - 8 hours per day, 257 day contract (year round position)
**CLASS TITLE: ADMINISTRATIVE SECRETARY I **(Program Assistant)**:
**QUALIFICATIONS**:1. High School diploma or equivalent.
- Such additional qualifications as the Superintendent or Board may find appropriate and acceptable.
**REPORTS**: Superintendent/Designee
**SUPERVISES**: Not Applicable
**JOB GOAL**: To create a pleasant, professional atmosphere while efficiently
administering secretarial and clerical duties. To assist the Program Director in all matters related to the duties or functions of the office.
**BASIC FUNCTION**: To perform specialized and responsible secretarial and administrative support duties for the District Program Director.
**PERFORMANCE RESPONSIBILITIES**:
- Performs a wide variety of specialized and responsible duties independently in support of functions delegated to an assigned Program Director; interprets and applies rules and regulation as appropriate.
- Coordinates communication between the Administrator and District personnel, students, Educational Institutions, vendors, other outside organizations, and the public; obtains and provides information, coordinates activities, and resolves problems.
- Researches, reviews, checks, corrects, and compiles a variety of information; verifies data for accuracy, completeness and compliance with established procedures; inputs and retrieves computerized data in computer systems as required; submits required reports in a timely fashion.
- Prepares and maintains a variety of records, logs and files, as required by law and the office, including information of a confidential nature; maintains confidentiality of information and records.
- Schedules meetings, conferences, and appointments for assigned Administrators; maintains Administrators calendar; arranges travel accommodations as necessary.
- Compiles information and data for a variety of reports; organizes, types, and prints reports and other written materials related to assigned office functions.
- Coordinates and compiles Board Agenda materials.
- Responds to requests for information from staff, and the general public regarding District programs, policies, procedures and regulations.
- Remains abreast of changes in policy or regulations relative to the operation of the program or office; participates in training activities as required by the Supervisor or State department.
- Receives, processes, and routes mail; orders, issues, and maintains department supplies, forms and equipment.
- Trains and provides work directions to department clerical support staff as assigned; monitors office overflow, and assures compliance with established time lines, procedures and standards of quality.
- Manages program affairs in the absence of the Program Director.
- Performs such other tasks and assumes such other responsibilities as may be assigned by the Superintendent/Designee.
**TERM OF SERVICE**: Salary and workdays/jobs to be established by the Board.
**EVALUATION**: Performance of this job will be evaluated in accordance with
provisions of the Board’s policy on Evaluation of Classified
Personnel.
