**STUDIO MANAGER/ PROJECT ADMIN**
- **$25-30/hr commensurate with experience**:

- **Part-time or Full-time**:

- **The Studio Manager/Project Admin’s role is to ensure the smooth running of the Studio and directly support Cat throughout the phases of a project. **_

**Key Responsibilities**:

- **Studio Administration**:

- Booking travel, scheduling design meetings, and preparing necessary documents
- Maintaining studio database of assets, contacts, licenses, insurances, etc.
- Setting up project files, organizing in-house filing system and image libraries
- Product research, maintaining and collating the sample library
- Ordering stationery, supplies, and equipment
- Organizing gifts for clients and consultants
- Promoting the office culture and organizing social events
- Assisting with recruitment and setting up staff annual reviews
- Managing the practice’s participation in events
- Fielding calls, screening project inquiries, and setting up meetings with potential clients
- Assisting in preparing fee proposals and Contracts for clients
- Maintaining the visible books and magazine displays
- Ensuring the studio space is always ready to receive clients/ visitors, including less glamorous but very appreciated tasks like tidying up, making coffee, and taking out the trash
- **Finance**:

- Preparing bi-weekly financial reports on a project basis
- Performing simple bookkeeping tasks
- Assisting with preparing and issuing invoices to clients
- Making payments to staff and suppliers
- Assisting with timesheet review and data entry for project-specific financial reporting
- Assisting with quarterly financial reports and organizing documents for tax preparation
- **Marketing**:

- Maintaining and updating the website
- Assisting with content creation for Instagram and future blog
- Liaising with publications/press, preparing, and issuing press packs
- Assisting in designing and updating the company brochure, project sheets, holiday cards, and announcements
- Assisting with written text for award submissions, conference proposals, and magazine publications
- Assisting with the production of client guides and presentation material
- Coordinating and scheduling photographers
- Assisting with project photoshoots
- **Project Administration**:

- Assisting with contractor’s pre-qualification questionnaires and undertaking due diligence
- Assisting with written descriptions, printing, and drawing issues
- Assisting with organizing, researching, and maintaining project documents such as outline specifications, program worksheets, mood boards, and various schedules
- Researching products, coordinating with vendors, and managing digital and hard-copy project documentation
- Scheduling meetings and preparing meeting minutes

- Work experience in high-end residential architecture, sustainable architecture, or relevant industry

**Job Types**: Full-time, Part-time

Pay: $25.00 - $30.00 per hour

Expected hours: 20 - 40 per week

Schedule:

- 4 hour shift
- 8 hour shift

Ability to Relocate:

- Old Lyme, CT 06371: Relocate before starting work (required)
