**JOB SUMMARY**

**ESSENTIAL JOB FUNCTIONS**

1. Maintain a professional image and attitude at all times which positively represents the goals and mission of the Peoria Housing Authority.

2. Provides administrative assistance to multiple departments and programs, in addition to Public Housing and Housing Choice Vouchers programs.

3. Greets visitors, callers, and staff with a customer-centered approach; determines nature of business and routes visitors/callers effectively and cordially, at all times.

4. Answers multi-line telephone in a courteous manner, responds to inquiries, transfers, and refers messages and calls, as appropriate.

6. Supports other employees in organizing office files, mailers, and other communication deliverables; maintains file organization and storage.

8. Input new applicant data into computer database and assist in maintaining PHA integrated management system.

9. Assist visitors with using self-service kiosk, as needed.

10. Draft correspondence and notices for the public

11. Maintain the security and confidentiality of sensitive and personally identifiable information while adhering to agency policies and procedures regarding the ethical, responsible, and appropriate use, care, and safeguarding of agency materials, functions, and services.

**MINIMUM QUALIFICATIONS REQUIRED**

**Education and Experience**
- High School diploma or equivalent, supplemented by experience in receptionist, intake, or customer service capacity; or any combination of education and experience that provides the necessary skills and abilities to successfully perform job functions.
- Fair Housing Certification and Cyber Security Awareness training must be completed within the first week of employment.
- Complete periodic training as it relates to housing regulations and fair housing/discrimination.

**Knowledge, Skills & Abilities**
- Ability to remain professional under high levels of stress, including interactions with clients who may have various disabilities (both mental and/or physical) and/or who are experiencing high levels of stress in their daily lives which may impact their ability to effectively communicate their needs.
- Must possess excellent verbal, written, and interpersonal skills.
- Strong organizational skills are required.
- Ability to operate a multi-line phone system with training.
- Demonstrated ability to maintain complex and confidential information, as well as help maintain paper and electronic filing systems.
- Knowledge of basic office operations, including, but not limited to, Word Processing and Spreadsheets, OneDrive, SharePoint, and Microsoft Teams, is preferred.

**PHYSICAL DEMANDS**

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals to perform the essential functions.

Must have the ability to sit for lengthy periods of time and to operate standard office equipment. Must be able to communicate agency needs verbally and in writing. Must be able to maintain excellent attendance and punctuality. The employee is occasionally required to stand, walk, stoop, kneel, or crouch to access files and office equipment. The employee must regularly lift and/or move up to ten (10) pounds and occasionally lift and/or move up to 25 pounds.

**WORK ENVIRONMENT**

Work is performed in an indoor environment and involves the normal risks associated in an office environment. The noise level in the work environment is typically moderate and involves daily, routine interactions with the public and staff. Reasonable accommodations may be made to enable individuals to perform the essential functions. May be required to assist with office and community events.

**MARIJUANA**

Although marijuana has been legalized under Illinois law, it is a Schedule I controlled substance and is illegal under Federal law. In accordance with the Drug Free Workplace Act of 1988, the Peoria Housing Authority, as a recipient of federal funds, must maintain a drug free workplace. Any applicant for employment who tests positive for marijuana during a pre-employment drug screening or advises PHA that he/she uses any form of marijuana, shall be ineligible for employment with the Peoria Housing Authority.
