The **Deputy Director** of the Prevention Division is accountable for the overall coordination of any administrative, clinical, financial and operational services or systems within any assigned program. The **Deputy Director **reports to and is supervised by the Division Director of Prevention.

The **Prevention Division** works to improve health outcomes, reduce mortality and enhance overall quality of life for individuals impacted by substance use and infectious diseases by seamlessly connecting clients to resources and knowledge through navigation, outreach, and education.

**Essential Duties and Responsibilities**:
**Operations**
- Evaluate program performance and ensure compliance with agency policies and procedures as stated in the Employee Handbook.
- Ensure each assigned program operates in compliance with all statutory and contractual requirements, and that policies are being observed and administered by the Program Directors, coordinators, Managers and their staff to ensure sound fiscal and operational management and the proper delivery of services.
- Ensure thorough review and understanding of all contracts, legal documents, and any other pertinent paperwork to effectively manage daily program operations.
- Maintain strict confidentiality protocols to safeguard sensitive information and uphold organizational integrity. Ensure a safe work environment by promptly responding to incidents and implementing proactive safety measures to mitigate risks. Reviews and makes recommendations concerning program areas and staff within the division.

**Fiscal management**
- Participate in the preparation of budget and contract amendments as well as annual budgets and work plans for designated programs.
- Effectively manage budgets and expenditures to ensure fiscal responsibility and optimize resource utilization in alignment with organizational goals.
- Participate in the acquisition and monitoring process of new and renewals of grants and contacts.

**Communication**
- Represent Victory Programs and assigned programs to the community, agencies, and individuals.
- Prepare and submit reports as required by the Director of Prevention, and/or federal, state, city, or private funders/affiliates.
- Develop and maintain formal partnerships with organizations and individuals to support a comprehensive continuum of care for program participants.

**Leadership**
- Participate in the Leadership Team, assigned workgroup activities and other staff meetings as required.
- Support the agency’s Standards of Excellence and appropriate implementation of the philosophy of care.
- Ensure seamless coordination of program and clinical operations by collaborating effectively with the fiscal, human resources, development, planning, and facilities departments to maximize efficiency and performance.

**Strategic Planning**
- Support the design and implementation of programs tailored to meet the diverse needs of clients, utilizing evidence-based practices and innovative approaches to promote individual well-being and community resilience.
- Implement and monitor quality improvement initiatives to enhance program effectiveness and performance.

**Employee Development and Supervision**
- Collaborate with the Division Director to provide coaching and support for professional development initiatives within the assigned team, fostering growth and skill enhancement.
- Participate in the development, implementation, and evaluation of an ongoing staff training plan for all designated programs.
- Recruit, oversee, assess, and potentially advance or end employment for program staff within assigned programs. Additionally, participate in staffing transitions such as hiring, termination, or promotion across programs as required.
- Attend weekly supervision.

**Data Management**
- Oversee collection and analysis of data for all reporting needs; this includes regular maintenance and quality checks of data systems.
- Work with the Senior Director of Impact and Evaluation to develop workflows and processes that support timely and accurate documentation in our Electronic Health Records

**Non-Essential Functions**:

- Coordinate and/or supervise designated internship programs.
- Participate and support the agency in program holiday events, State House rallies, fundraising and advocacy events, HIV/AIDS rally and walk, and any additional functions.
- Support agency fundraising and development activities.

**Required Qualifications**:

- 5 years of management/supervisory experience in a nonprofit or human services organization.
- Bachelor’s Degree.
- Knowledge of reporting and management protocols for federal, state, city contracts.
- Demonstrated ability to work independently, effectively managing tasks and prioritizing responsibilities to meet deadlines and achieve goals.
