Project Administrator

Ace Fabrication is a best-in-class design, engineering and fabrication firm serving the life sciences industry since 1962. As Ace continues to grow, we are looking for an individual to help manage customer interactions for multiple projects of all sizes. Your keen ability to multitask, communicate effectively and tackle project challenges will allow you to thrive in our fast-paced environment. You’ll be surrounded by experts in estimating, engineering, fabrication and project delivery who will help you to grow in your new role.
Duties include but are not limited to:
- Coordinate all activities and communications between the customer and our internal estimating, engineering and production teams
- Receive and manage purchase orders
- Internal project tracking and scheduling priorities
- Manage change orders including scope additions and requests for quotes
- Send, manage and track all submittal drawings
- Coordinate meetings, site visits, and inspections with various stakeholders
- Monitor project progress and identify any potential risks or issues that may impact timelines or quality
- Manage all deliveries and shipments
- Work with customers to manage all aspects of on-site installations including site training requirements, site orientations and logistics
- Project close-out requirements
Key Fundamentals for Success:
- Extremely organized
- Excellent written and verbal communication skills
- Time management skills and the ability to manage multiple projects with many and varying priorities
- Strong attention to detail and ability to maintain accurate project documentation
Skills, Knowledge, Qualifications & Experience:
- A degree or certificate from a college or technical school in a field closely related to engineering, architecture, construction management / technology or related field and/or project management experience is preferred
- General knowledge of computer software such as Word, Excel, Windows, etc. required
- Project management software or ERP (such as JobBoss) helpful
- Highly motivated self-starter who thinks independently with mínimal supervision
- Have a positive attitude
- Have the ability to think quickly and problem solve
