As a Dispatch Coordinator at Maxwell, you will play a pivotal role in ensuring the smooth coordination of service calls and repair jobs. You will work closely with Mechanics, Field Supervisors, and Management to schedule appointments, procure materials, and facilitate the timely completion of tasks. Your attention to detail and proactive approach will contribute to maintaining high standards of customer service and operational efficiency.

**Primary Responsibilities**:

- Collaborate closely with Mechanics and Field Supervisors on a daily basis to coordinate service calls and repair jobs efficiently.
- Communicate via phone with Management, Maintenance Supervisors, and Superintendents to discuss job requirements and secure work for technicians.
- Schedule service and quoted jobs according to technician availability and job scope determined by Supervisors.
- Ensure all necessary materials are available before scheduling jobs, coordinating with Supervisors to obtain materials lists and photos if necessary.
- Arrange for the box truck to pick up materials from various vendors and ensure all required materials and tools are prepped and loaded onto the truck for big jobs.
- Coordinate box truck pickups for garbage, old piping, tools, etc., ensuring alignment between the truck and technician schedules.
- Confirm same-day and next-day service appointments with customers via phone.
- Communicate with technicians daily to discuss repairs, place material orders with vendors, and ensure they have the correct tools for their assigned repairs.
- Schedule technicians for next-day jobs or quoted work, ensuring the appropriate technician is assigned to each job.
- Debrief with technicians after job completion and set them up for their next assignment.
- Coordinate with Field Supervisors to prioritize site visits and quotes for repairs.
- Ensure technicians are properly set up for quoted jobs, confirming materials accuracy and tool availability to minimize downtime.

**Key Objectives**:

- Maintain open communication with customers and Management to ensure Maxwell's service standards are met, regardless of job size or complexity.
- Strategize to ensure the correct technicians are scheduled for larger jobs, assigning certified technicians to specialized tasks such as gas repairs, backflow installations, fire guard installations, or welding repairs.
- Confirm all materials are complete and accurate before scheduling any repairs or jobs to minimize delays and maximize efficiency.

**Collaborative Efforts**:

- Collaborate with the Boiler/HVAC and Sprinkler divisions on projects that involve cross-functional coordination.
- Work alongside external partners equipment removal and re-installation projects.
- Coordinate subcontracted work with insulation contractors, facilitating access to buildings and scheduling repairs.

Pay: $26.00 - $32.00 per hour

**Schedule**:

- Monday to Friday
- On call
