Venue Coordinator at Iron Front

Iron Front is seeking a Venue Coordinator to manage weddings and events.

**Job Duties**:
Daily Job Duties
- Use proposal templates to send proposals for weddings and events each day
- Execute daily opening checklist
- Execute daily closing checklist
- Review and become familiar with the upcoming wedding and event schedule and event plans
- Hold 30 day planning meetings for weddings and non-wedding events
- Clean venue spaces
- Provide walkthroughs for existing clients and prospective clients
- Keep catering kitchen well organized and clean
- Keep bar well organized and clean
- Complete event related tasks such as coordinate with vendors (i.e. DJ’s, caterers etc.), purchase parking meter bags, etc.
- Set up for wedding and events
- Clean up after weddings and events
- Reset venue spaces
- Serve as our expert at setting up all audio visual equipment such as the wireless mic PA system and DJ speaker system
- Prepare place settings package for the next event

Weekly Job Duties
- Schedule part-time Event Coordinators to work the weddings and events with you
- Take inventory of supplies and alcohol
- Place orders for supplies and alcohol
- Pick up alcohol from liquor store
- Do laundry
- Deep cleaning of venue spaces

Pre-Event Duties
- Read and fully understand the event plan’s details such as type of event, timeline, number of guests, floor layout, beverage service, bar set up etc.
- Call the event host 1 week in advance and introduce yourself as the Venue Coordinator, do a check in to review the details with them
- Text the event plan link to all event staff 3 days in advance of the event
- Set up the venue spaces for the event
- Set up the bar
- Serve as the pre-event inspector and be on the look-out to catch anything that is not perfect yet

During Event Duties
- Be available to work most events and weddings
- Do walkthroughs of the spaces to make sure the spaces are clean and ready to go
- Introduce yourself to the event host and make sure the host has everything they need
- Do frequent in person check ins with the host throughout the event
- Serve as the venue’s primary contact person for the vendors
- Delegate tasks to other staff and jump in to help as needed
- Be responsible to ensuring that staff are getting their required breaks (if applicable)
- Do room flips (i.e. flip the room from Ceremony to Reception floor layouts during weddings)
- Serve as the event monitor and be on the look-out to catch anything that is not perfect yet (i.e. be extremely detail oriented and assume that no other staff is going to catch imperfections to correct, for example, tables that need to be bussed, lighting that is not at the correct setting, candles that have burned out, room temperature etc. )
- Serve drinks behind the bar if needed

Post Event Duties
- Assist event hosts with exiting the building as needed
- Complete post-event feedback form to describe how the event went and what improvements need to be made for next time
- Clean up after the event using checklists
- Reset rooms as needed using checklists

**Job Types**: Full-time, Part-time

Pay: $22.00 per hour

Expected hours: 20 - 40 per week

Schedule:

- 12 hour shift
- 8 hour shift
- Day shift
- Evenings as needed
- Evening shift
- Night shift
- Weekends as needed
