**About the Job**
The Department Specialist (DS) will be assigned to work with Department Chairs to support them in executing their departmental responsibilities by providing events and administrative support, project management, and policy consultation and will be supervised by the Faculty Support Manager in the School of Natural Sciences. The Department Specialist is a point of support for multiple department chairs in administering department activities at the direction of the Department Manager and/or the Department Coordinator.
KEY RESPONSIBILITIES
Communications Support:
- The DS will advise department chairs on the campus policies and procedures concerning campus business services and related systems, as needed. The DS will manage communications for the department and serve as the point of contact for the department(s). The DS will answer questions related to campus business processes and departmental operations from external and internal clients (often, the DS will need to research the questions and/or contact other offices for clarification on rapidly evolving procedures).
Admin Support:
- Manage department records and compile information/data into reports. Update the department and its auxiliary websites. Coordinate/schedule department faculty meetings and other departmental meetings. Create meeting agendas and minutes. Create and disseminate surveys and provide data analysis and reports. Assist with hiring student assistants and course readers.
- Ensure compliance with health and safety guidelines for the departments. Manage inventory and equipment for the department. Assist with course scheduling. Collect and archive syllabi and textbook lists. Take meeting notes that record deliberations and actions needed for a smooth functioning department. Provide follow-up and track the action items from meetings to ensure the items are completed. Keep track of dates and deadlines established by the campus.
- Assist with purchasing and travel for designated departments. Create and maintain spreadsheets and reports regarding departmental operations, purchasing, and travel. Provide support with scheduling room reservations. Track space assignments (i.e., lab space, TA offices, etc.).
Event Support:
- Organize, and implement events, which may include symposiums, conferences, seminars, and banquets. Independently performs the full range of responsibilities for the assigned departments. Ide
