Enter subcontractor and vendor invoices from all intake paths (subcontractors billing through Procore, subcontractors not on Procore, purchase order invoices, and paper or scanned invoices) promptly, so that all costs are entered before the draw closes.
Review and release Procore transactions to Sage, including Commitments, Commitment Change Orders (CCO), Prime Contract Change Orders (PCCO) and Subcontractor Invoices; accept and export to the ERP, or reject with a documented reason.
Resolve failed exports by correcting the record in Procore and re-exporting, rather than entering the transaction directly in Sage, so that Procore and Sage remain synchronized.
Work accurately across both numbering systems: Sage job numbers (P-prefix) for reports and job-cost work, and Procore project numbers for commitments, invoices and draws.
Collect and review general invoices and match them to a vendor purchase order when appropriate. Monthly Owner Draw Cycle Track payment notices, funding and project assignments in the Monthly Billing Worksheet as they arrive, verifying entries made by others before relying on them.
Collect monthly subcontractor payment applications and review them for accuracy following Project Manager review; reconcile pay application status against original subcontracts, change orders and pending change orders with subcontractors.
Prepare the draw: review subcontractor billing, download and label conditional waivers, generate the Job Cost Journal report and other cost backup for the billing meeting, and assemble the draw package based on owner and contract requirements.
Generate and accurately process monthly General Construction G702/703 requisition billing in a timely manner.
Schedule and attend the pay application meeting and incorporate corrections into the draw package.
Have the pay application package notarized, scan it and route it for signature and submission; update draw status in the MEC Portal and verify that the draw was actually submitted.
Bill owners who are invoiced outside the pay application flow directly from Sage against the clients purchase order and send the invoice to the owners accounts payable contact.
Follow project
- and client-specific billing rules (for example, retainage rates that differ by state or contract, change order grouping, or owner change orders billed outside Procore) and record any new rule in the JobGuide.
Investigate any unbilled project costs. Subcontractor Payments & Lien Waivers Process subcontractor payments accurately and within the assigned timeline once owner funding is received, using Procore, Sage, the WIP/merge file and the waiver mail merge, and verify merge output before anything is sent.
Disburse funds only when all supporting documentation is in place, including lien waivers, current insurance certificates, W-9, competent person form, signed agreements, warranty and O&M manuals, as applicable.
Create conditional and unconditional lien waivers, send them, and follow up with subcontractors and suppliers until they are collected; review all subcontractor and supplier lien waivers for accuracy.
Record waiver status and amounts in the lien waiver tracking file and Lien Waiver Log, and save all final statements and lien waivers to the companys Egnyte project folders.
Track joint check agreements so that supplier liabilities are net at the time of subcontractor payment; enter joint checks in Sage and maintain a separate record of joint check amounts rather than leaving the detail in email.
