Position Information Classification Title Academic Program Assistant II FLSA Non-Exempt FTE 1.00 Minimum Qualifications High school diploma or equivalent and 2 years of related experience Preferred Qualifications Position Summary The Undergraduate Program Administrator will provide administrative support to the undergraduate program, the department's communication efforts and the Psychology faculty. Responsibilities include, but are not limited to, entering the teaching schedule for each semester; managing departmental records, spreadsheets and databases related to the undergraduate program; maintaining a working knowledge of UGA's campus resources, information systems, and university, college, and departmental policies and procedures; and maintaining and updating information on the department's website. Working with the department head and the associate department head, the undergraduate administrator will manage multiple priorities and projects and demonstrate creativity, flexibility, self-motivation, and strong problem solving, analysis and communication skills. Incumbent will demonstrate the ability to think creatively, analytically, and strategically and have verified leadership skills to work independently and as part of a team. This position will provide administrative support to the undergraduate program and the Psychology faculty using various programs in the Microsoft Office suite. Knowledge, Skills, Abilities and/or Competencies * Demonstrated ability to coordinate and manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines. * Substantially developed interpersonal and teamwork skills to successfully work with diverse groups in an academic environment * Demonstrated ability in both written and verbal communication skills * Software experience and expertise in: - MS Office Suite - Adobe Physical Demands Sit at a computer for hours at a time. Duties/Responsibilities Duties/Responsibilities Undergraduate and Graduate Program Administration * Assists Associate Head with creating course schedules, revises course schedules on a regular basis and distributes schedules and teaching assignments to department. * Serves as the CAPA (Course Approval Process Automation) contact person for the Psychology department, in order to complete and submit course proposals online. * Enter the teaching schedule for the fall, spring, maymester and summer semesters using IMS, OASIS and Banner systems. * Manage departmental records, spreadsheets and databases related to the undergraduate program * Act as a resource for faculty in the department. * Manage textbook orders for Department classes * Coordinate classroom assignments * Clear students to register for courses based on a specific set of pre-established criteria * Process section change forms and transfer credit summaries * Process and maintain files on grade change and withdrawal forms. * Monitor the student evaluation process at the end of each semester per the department guidelines. * Enrolls graduate students as Instructor of Record as needed. Percentage of time 55 Duties/Responsibilities Undergraduate Recruitment and Retention * Maintain knowledge of the University of Georgia campus resources, information systems, and university, college, and departmental policies and procedures. * Act as a positive representative for the Psychology Department and a positive role model for students. * Create recruiting plans and associated materials * Develop recruitment budget based on allocated funds with assistance from the Business Manager * Develop departmental retention strategies * Create and implement procedures to increase the recruitment of minority applicants and retention of minority students Percentage of time 35 Duties/Responsibilities General Departmental Support * As a member of the staff in the department, this position supports the faculty. This position either provides the requested customer service or refers it to the appropriate staff member to respond. In cases where a service is requested that falls outside of the normal duties, this position will either provide the service or consult with the business manager as to possible alternative resources * Coordinate and provide leadership on special projects assigned by the department head and business manager. * Perform tasks and assignments as instructed by the departmental leadership Percentage of time 10 Required Preferred Job Industries Other
