POSITION TITLE: PAYROLL SPECIALIST

Job Snapshot
The Payroll Specialist, reporting directly to the Controller, is responsible for preparing payroll data for bi-weekly processing and providing support to employees with payroll-related inquiries. This hands-on role demands meticulous attention to detail and excellent customer service. Strong organizational and communication skills are essential, along with the ability to research and resolve payroll issues. Additionally, the Payroll Specialist will contribute to the annual 403(b) audit and assist with special projects as needed. This is a hybrid position.
Requirements
Your Impact on the Mission - Excellence in Advocacy
Preparing payroll data for payroll processing:
- Upload employees' hours from the Mileage Calendar to Paylocity as scheduled.
- Run the missing hours report to ensure all hours (including paid time off and time without pay) are entered accurately and timely. Follow up with employees and supervisors to ensure accurate timecards for payroll processing.
- Review the hours for all employees who are on leave to ensure accuracy and calculate accruals earned on hours used.
- Verify expense reimbursements and mileage reimbursements for accuracy and prepare the data for payroll processing.
- Prepare retroactive pay calculation, if available.
- Calculate donated vacation hours as needed.
- Prepare manual check calculations, such as employee separations and missing hours.
- Provide prompt, friendly and efficient customer service to employees who have questions regarding their pay, deductions or the payroll process.
- Email step (salary) increase notifications for all employees in the bargaining unit to Director of Operations every pay period.
- Reconcile all payroll-related accounts for accuracy and make corrections, if necessary. These accounts include, but are not limited to, union dues, 403b accounts, Metrolink, courthouse parking, payroll disbursements and payroll clearing.
- Download payroll general ledger report from Paylocity every pay period.
- Assist Payroll Administrator with annual 403(b) retirement audit.
- Assist HR in monthly reconciliation and management of all benefits (i.e. medical, dental, supplemental insurances). Assist HR department in correcting any variances.
- Assist Payroll Administrator and Controller with special projects, as requested.
- 3-5 years of experience in payroll processing, including time and attendance module.
- Solid interpersonal skills and ability to interface with all employees in different levels, as well as providing excellent customer service.
- Strong attention to detail
- Strong analytical and problem-solving skills and demonstrated the ability to identify potential problems and make recommendations to improve the process.
- Ability to prepare payroll data and reconciliation accurately and timely.
- Ability to work quickly and accurately under tight deadlines.
- Excellent written and verbal communication skills, and strong organizational skill.
- Proficient in Paylocity
- Proficient in Microsoft Office applications, especially in MS Excel and Word. Proficient in Mail Merge & pivot tables.

- Durfee Professional Development funds are available for all employees, in good standing, who have been with CLC for at least two years.
