Shipping Coordinator

The Shipping Coordinator is responsible for planning, scheduling, and coordinating outbound transportation activities to support on-time customer deliveries and overall business objectives. This role ensures finished goods are shipped efficiently and accurately while meeting customer requirements, production schedules, and cost targets. The position works closely with warehouse operations, transportation providers, and internal stakeholders to execute shipping schedules and resolve any issues that may affect service or delivery performance.

Responsibilities

• Plan and schedule outbound deliveries of finished goods to customers, distribution centers, and warehouses in alignment with production schedules and customer commitments.
• Monitor shipment status throughout the transportation process and proactively address delays, service failures, or capacity constraints that may impact customer delivery commitments.
• Track shipments and provide timely communication regarding shipment status, delivery updates, delays, and transportation exceptions to internal and external stakeholders.
• Manage relationships with carriers and transportation providers, securing appropriate transportation capacity to meet shipping requirements.
• Ensure all shipments comply with customer requirements, regulatory standards, and internal company policies.
• Communicate transportation updates, potential delays, and recovery plans clearly and promptly to internal stakeholders and customers.
• Assist in identifying and implementing process improvements to enhance shipping efficiency and reduce transportation costs.
• Ensure compliance with Department of Transportation (DOT) regulations, safety requirements, and company policies in all transportation activities.
• Prepare, review, and maintain accurate and complete shipping documentation, ensuring it is provided to the appropriate internal and external stakeholders in a timely manner.
• Collaborate closely with warehouse operations and other internal teams to support accurate order fulfillment and on-time shipment execution.
• Support issue resolution related to shipping errors, documentation discrepancies, or carrier performance, escalating as needed.
• Perform other related duties as assigned to support transportation and warehouse operations.

Essential Skills

• 12 years of experience in transportation, shipping, logistics, supply chain, customer service, or manufacturing operations preferred.
• Proficiency in Microsoft Office Suite, including the ability to work effectively with spreadsheets, documents, and email.
• Experience with ERP, Warehouse Management Systems (WMS), or Transportation Management Systems (TMS) preferred.
• Strong organizational skills with the ability to prioritize tasks and manage multiple shipments and deadlines simultaneously.
• Effective problem-solving skills with the ability to respond quickly to transportation disruptions and service issues.
• Excellent verbal and written communication skills for interacting with carriers, warehouse personnel, internal stakeholders, and customers.
• Ability to manage multiple priorities in a fast-paced manufacturing environment.
• Experience working with less-than-truckload (LTL), parcel, and truckload transportation providers preferred.
• Ability to create, review, and manage shipping documents accurately and efficiently.
• Comfort working closely with warehouse operations and understanding basic warehouse processes.

• Familiarity with scheduling and coordinating deliveries across multiple customers, distribution centers, and warehouses.
• Experience monitoring carrier performance and supporting continuous improvement in transportation processes.
• Ability to build effective working relationships with internal customers, warehouse personnel, and external transportation providers.
• Strong attention to detail to ensure accuracy in shipping documentation and compliance with requirements.
• Adaptability and flexibility to respond to changing business demands, customer requirements, and transportation disruptions.
