Private Family Office seeks an exceptional, highly organized, and action-oriented Director of Residences to oversee all aspects of their residential portfolio, including operations, daily upkeep, logistics, and ongoing development. This role is deeply focused on preserving and enhancing the long-term value of the family’s real estate assets through strategic construction oversight, renovations, and both seasonal and day-to-day maintenance. The family’s residential portfolio spans New York City, Connecticut, Eastern Long Island, Puerto Rico, and Florida, with a primary near-term focus on the Connecticut property. Many of the residences are currently under renovation or construction and will be completed on a rolling basis over the coming years. The Director of Residences will oversee all properties with the understanding that not all homes are yet complete. This role requires a highly hands-on professional who can serve as a trusted representative and extension of the principals. The Director will oversee daily operations, staffing, vendor management, and large-scale construction and renovation projects, ensuring each property is meticulously maintained, fully operational, and aligned with the principals’ standards and preferences. Extensive travel is required, and the Director must be present at properties as needed based on family and estate priorities. The Director of Residences will work out of the Family Office and act as the primary liaison between the principals, property managers, household staff, contractors, and service providers. This individual must be able to independently evaluate each property, identify immediate and long-term needs, and develop clear timelines and actionable plans for maintenance, capital improvements, and renovation priorities. Strong construction knowledge, budgeting expertise, and the ability to manage projects from conception through completion are essential. This is a collaborative, service-oriented role that requires discretion, flexibility, and a 24/7 mindset. The Director is expected to proactively relieve the principals of operational oversight by anticipating needs, managing complex projects, and providing regular status updates without prompting. General hours are expected to average 50–60 per week, with availability outside standard business hours as needed. Responsibilities include but are not limited to: Serve as the primary liaison between the family, contractors, vendors, and staff across all residences, ensuring that Principal’s preferences and desires are conveyed effectively to the support staff and all relevant parties. Relieve the Principal of operational thinking, proactively communicating which tasks are being managed and delivering status updates without prompting. Oversee day-to-day operations and long-term planning for all properties Coordinate and supervise renovations, construction, and maintenance projects Hire, manage, and oversee household staff, including compensation and scheduling Manage vendors and contractors; negotiate contracts and ensure quality, timelines, and budgets are met Develop and maintain detailed preventative maintenance plans (1-, 5-, and 10-year outlooks) Ensure all homes are guest- and family-ready at all times Maintain detailed records, invoices, expense tracking, COIs, permits, and property documentation Ensure legal, regulatory, and insurance compliance across all jurisdictions Strategically document and maintain household systems and manuals Conduct regular site visits and inspections; proactively address issues and emergencies Act as an extension of the principals, representing their standards, preferences, and interests at all times Contract negotiation, dealing with various service providers, contractors, and vendors ensuring the financial stability and operational efficiency of the properties ensure that essential expenses are managed judiciously while unnecessary costs are curtailed to maintain financial equilibrium. Nurturing and sustaining relationships with various contractors, ranging from handymen to landscapers. Building and maintaining these collaborative partnerships contribute significantly to the seamless operation and maintenance of the properties. xrczosw Additional Director of Residences responsibilities as needed and requested Requirements: Strong command of the English language; superb written, verbal, and interpersonal communication skills Excellent references required from both current (if possible) and previous employers A minimum of 10–15+ years of experience in estate management, construction oversight, high-end property management, private estates, real estate development, project management, or related fields Prior experience supporting UHNW families, particularly with oversight of multiple residences Exceptional organizational skills with the ability to manage complex, multi-property operations Highly meticulous, with the ability to manage both big-picture strategy and fine details simultaneously Strong leadership, project management, and people-management skills Previous experience managing staff and vendors, including hiring, oversight, and performance management Strong understanding of the market and excellent negotiation skills to secure favorable contracts on behalf of principals Ability to exercise quick, accurate judgment and work effectively in busy, high-stakes environments Effective and proactive problem-solver with the ability to anticipate issues before they arise Exceptional time management and multi-tasking abilities Strong strategic and analytical mindset High level of discretion, professionalism, emotional intelligence, and commitment to confidentiality and safety Adept at working in fast-paced, ever-changing environments where trust and confidentiality are paramount Service-oriented mindset with a proactive, above-and-beyond attitude Technologically savvy, with the ability to implement and manage digital systems; complete comfort with computers, internet-based tools, email, apps, calendaring programs, Microsoft Office (Outlook, Word, Excel), Google Suite, and home automation/operations software Self-starter mentality with the ability to maintain year-round productivity with minimal oversight Proficiency in both property management (e.g., HVAC, landscaping, building systems) and hospitality standards Able to lift up to 50 lbs Valid Driver’s License; confident driver with a clean driving record Valid Passport; willing and able to travel domestically and internationally as needed Able to legally work within the United States for any employer Salary: $250K - $300K per year; potential discretionary, performance based annual bonus Benefits: Full, noncontributory medical benefits All salary offers are depending on experience, references, and the results of Federal Background Report.
