This role is based in San Francisco (hybrid, 3 days in-office) with the option to work from the Menlo Park office as needed. Compensation: $80,000–$90,000 (DOE) + Bonus + 6% 401(k) match Schedule: Hybrid (3 days in-office), WFH 2 days once trained This boutique investment advisory firm serves approximately 700 client families and institutions with an average AUM of ~$3M. With more than 85 years in operation, the team delivers sophisticated investment management and active planning across generations of clients. This position is primarily back-office/administrative with some direct interaction via email and phone—not client meetings or investment discussions. Ideal for someone who is operationally strong, detail-oriented, and proactive in improving process and client experience. What You’ll Do - Support client relationships by tracking client communications and completing service requests (money movement, account consolidation, access updates, DocuSign preparation, etc.). - Coordinate with the Client Service team to prepare for client meetings, including reports, data gathering, and CRM updates (Salesforce/eMoney). - Communicate with clients by phone or email to answer operational questions and resolve administrative issues. - Initiate and monitor service requests with custodians such as Schwab, Fidelity, or Pershing. - Assist with account openings, transfers, reregistration, stock option exercises, cost basis research, donations, RMDs, and distributions. - Maintain accurate records by updating the portfolio accounting system and CRM. - Contribute to quarterly reporting—production, review, and delivery of client reports. - Ensure client service procedures are followed and continuously enhanced for efficiency and quality. - 3+ years of experience in wealth management, brokerage, or investment advisory. - Bachelor’s degree strongly preferred. - Hands-on experience with custodians such as Schwab, Fidelity, or Pershing. - Experience with Orion Advisor Technology is a huge plus. - Strong interpersonal skills with polished verbal and written communication. - Ability to handle confidential information with professionalism and discretion. - Extreme attention to detail and accuracy. - Ability to manage complex tasks independently with minimal oversight. - Excel skills and enthusiasm for projects/process improvement are highly valued. xrczosw Benefits The firm offers a competitive compensation and benefits package including: - Medical, dental, and vision coverage - 401(k) with 6% match (after 6 months)- Three weeks of paid vacation, separate sick time - Bonus potential For expedited consideration or to have a conversation about other roles in, please send a message to Jennifer Fukumae on LinkedIn.
