Senior Logistics Associate (with potential for growth into a Leadership role within a year)

We are seeking a highly organized, proactive, and solutions-oriented Senior Logistics Coordinator to join our team and oversee the movement of materials, fixtures, products, and project assets across domestic and international markets.

Our firm partners with leading retail, beauty, fashion, and consumer brands to bring innovative physical environments and brand experiences to life. This role sits at the intersection of design, production, vendors, freight forwarders, ports, customs, and project teams — ensuring that everything arrives where it needs to be, when it needs to be there, and within budget.

The ideal candidate has hands-on experience with international freight, freight forwarding, customs and port processes, shipping and receiving, vendor management, and logistics negotiations. You are comfortable managing multiple shipments and stakeholders simultaneously, anticipating potential issues before they become problems, and navigating the complexities of global supply chains. This is a highly collaborative role for someone who enjoys working in a fast-paced, deadline-driven environment where no two projects are exactly alike.

Key Responsibilities

International & Domestic Logistics

  • Manage end-to-end logistics for domestic and international shipments, including materials, fixtures, millwork, displays, products, and other project-related assets.
  • Coordinate ocean, air, ground, and expedited freight as required by project schedules and budgets.
  • Manage freight forwarding partners and coordinate bookings, documentation, pickup, transit, delivery, and final-mile logistics.
  • Track shipments from origin through final delivery and proactively communicate changes, delays, and exceptions.
  • Coordinate international shipping requirements, including commercial invoices, packing lists, bills of lading, certificates of origin, and other required documentation.
  • Partner with customs brokers and freight forwarders to facilitate efficient customs clearance.
  • Monitor shipments through ports and distribution points and resolve holds, delays, demurrage, detention, and other issues.
  • Coordinate deliveries to job sites, warehouses, retail locations, offices, and other destinations.

CAM, Ports & Freight Management

  • Manage CAM (Container Accessorial Management) and/or related container, port, terminal, and accessorial charges.
  • Review freight invoices and identify discrepancies, unexpected charges, and opportunities for cost recovery.
  • Work directly with freight carriers, ports, terminals, brokers, and logistics providers to resolve issues and negotiate costs and timelines.
  • Monitor demurrage, detention, storage, chassis, drayage, handling, and other accessorial fees.
  • Develop strong working relationships with port and terminal contacts and advocate for the company's projects when issues arise.
  • Assist in negotiating freight rates, service agreements, and other logistics-related costs.

Vendor & Partner Management

  • Serve as a key point of contact for freight forwarders, carriers, customs brokers, manufacturers, fabricators, warehouses, and other logistics partners.
  • Develop and maintain strong vendor relationships while holding partners accountable to agreed-upon service levels, costs, and timelines.
  • Solicit and compare freight quotes and negotiate competitive rates and terms.
  • Evaluate logistics vendors and make recommendations regarding performance, cost, reliability, and service.
  • Maintain accurate vendor information, rate sheets, contacts, and service documentation.

Shipping & Receiving

  • Oversee shipping and receiving activities for project materials and assets.
  • Coordinate inbound and outbound shipments between vendors, warehouses, project sites, and retail locations.
  • Establish receiving schedules and ensure appropriate delivery appointments are secured.
  • Verify quantities, documentation, and condition of incoming and outgoing shipments.
